Duties and Responsibilities
Reception and telephone inquiries relating to city regulations, including Public Works, Engineering, Transit, Building & Bylaw programs and services (e.g., waste management, snow removal, leaf collection, permits, pothole complaints, building inspections).
Answer and respond to all incoming calls and web enquiries.
Address walk‑in customer enquiries.
Take payments for sale of various items and goods through Great Plains database (bag tags, composters, rain barrels, building permits, parking tickets, transit passes, water meters, legal clearance letters).
Provide administrative support to the City Engineer’s Office, including data entry and basic data analysis for para‑transit cash bag reconciliation, water exemption certificates, municipal parking lots, overnight parking passes, pothole complaints, and winter snowplow complaints.
Receive and process bylaw complaints and enter details into the Cloudpermit database.
Process payment of parking tickets and other by‑law notifications, including Notice Impending Conviction and Certificate Requesting Conviction mailings through Hotspot Parking database.
Conduct property file searches and prepare legal property clearance letters, confirmation of zoning, and building/work order reports for review.
Act as Commissioner of Oath to accept and take payments for minor variances, coordinating with Building Technicians and forwarding completed applications to the Clerks Department for public notice and Committee of Adjustments meeting agenda.
Schedule building inspections in Outlook calendars and Cloudpermit; coordinate with Water Department staff when required.
Process incoming mail/couriers, distribute mail/faxes, and manage debit machine operations.
Perform general filing, photocopying, faxing, setting up courier pickups, and related tasks.
Assist Building Department with returning building permit damage deposits.
Other duties as assigned.
Qualifications
College Diploma in General Business Administration or equivalent.
Proficiency in MS Office and Outlook.
Excellent customer service and communication skills.
Strong written communication skills.
Strong organizational and time‑management skills; able to handle fluctuating work volumes.
Knowledge of municipal processes is an asset.
