Position Summary
Beaches Sandbox Foundation is seeking a Senior Experience & Programs Coordinator to coordinate and deliver welcoming, inclusive, and well-executed community programs, workshops, and events.
This role is responsible for day-to-day program operations, facilitator and participant support, and ensuring programs run smoothly from planning through delivery and follow-up. The ideal candidate is highly organized, calm under pressure, people-centered, and comfortable managing live environments with multiple moving parts.
This is a hands-on, in-person role focused on operational excellence and participant experience. The successful candidate is proactive, dependable, and thrives in dynamic community environments.
Key Responsibilities
Program Delivery & Live Operations
· Coordinate and deliver assigned programs, workshops, and events from planning through wrap-up.
· Manage calendars, run sheets, schedules, checklists, materials, room readiness, and basic event logistics.
· Lead day-of operations, troubleshoot issues in real time, and help ensure programs run smoothly, safely, and on schedule.
· Track attendance, operational issues, and post-program follow-up items.
Facilitator & Volunteer Coordination
· Coordinate scheduling, onboarding, briefing, and support for facilitators and assigned program volunteers.
· Serve as the primary operational contact during live programs and events.
· Help improve onboarding tools, checklists, and operational processes.
Participant Experience
· Create a welcoming, organized, and responsive experience for participants, guests, and community partners.
· Respond to questions and concerns professionally while upholding accessibility, inclusion, and safety standards.
· Gather observations and feedback to support continuous improvement.
Systems, Administration & Collaboration
· Maintain accurate program records, schedules, supplies, and expense tracking.
· Use systems such as ActiveNet, HubSpot, Google Workspace, and Microsoft Office to support program coordination and communication.
· Collaborate across teams to support consistent program delivery and participant experience.
· Identify operational improvements based on front-line experience.
Qualifications & Experience
· 3–5+ years of experience in community programming, event operations, hospitality, recreation, nonprofit, arts and culture, education, or similar participant-focused environments.
· Proven experience independently coordinating and delivering programs, workshops, or events with minimal supervision.
· Experience supporting facilitators, instructors, volunteers, contractors, or front-line teams in live environments.
· Strong judgment and confidence managing fast-paced environments with multiple moving parts.
· Excellent interpersonal and communication skills, with the ability to engage warmly, clearly, and professionally with diverse stakeholders.
· Strong organizational skills and attention to detail, with the ability to manage competing priorities and deadlines.
· Comfortable using registration systems and technology platforms such as ActiveNet, HubSpot, Google Workspace, Microsoft Office, or similar tools.
· Comfortable preparing clear participant-facing logistical communications.
· Flexibility to work regular evenings and occasional weekends based on programming schedules.
· Valid First Aid/CPR certification, or willingness to obtain certification, is considered an asset.
· Experience supporting accessibility and inclusive participant experiences is considered an asset.

· Regular evening and occasional weekend work required.
