Job Overview
The Ophthalmology Clinic Manager leads the daily clinical and administrative operations of the clinic, ensuring efficient, high-quality, and patient-centered care. The role provides oversight of clinical and clerical staff, including scheduling, performance management, and staff development.
The role has several groups of employees reporting into the Manager position, inclusive of but not limited to: surgical and administrative coordinators, Certified ophthalmic medical technologists, and other technologists and staff responsible for patient care activities. The role reports directly into the Director of Ophthalmology.
The Manager ensures effective delivery of patient care and diagnostic services, supports workflow optimization, and manages resources, including equipment and supplies. They oversee policy implementation, regulatory compliance, quality improvement, infection control, and risk management.
As part of the leadership team, the Manager contributes to operational planning, budget oversight, and the continuous improvement of services while fostering a safe and supportive environment for staff and patients.
As a leadership member of Kensington Health, the manager of Ophthalmology clinics collaborates with other leaders and directors in the organization, physicians, as well as external stakeholders such as vendors, other clinics and referring groups.
Responsibilities
Clinical Operations & Service Delivery:
Oversee daily clinic operations to ensure efficient, high-quality, patient-centered care.
Coordinate physician schedules and clinic flow to optimize space utilization and patient access.
Ensure appropriate staffing levels and skill mix to safely meet patient care needs.
Monitor clinic performance and address operational issues in a timely manner.
Maintain a safe environment for patients, staff, and visitors in compliance with health and safety standards.
Staff Development & Management:
Lead, coach, and support staff, fostering a collaborative and accountable team environment.
Manage recruitment, onboarding, scheduling, performance evaluations, and disciplinary processes.
Communicate expectations, provide regular feedback, and support staff development and training.
Promote staff engagement, recognition, and participation in decision-making and improvement initiatives.
Quality, Safety & Experience:
Ensure compliance with organizational policies, regulatory requirements, and clinical best practices.
Oversee infection control, incident reporting, and risk management processes in collaboration with Kensington Health's Infection Control and Prevention Department.
Monitor quality indicators and identify opportunities for continuous improvement.
Collaborate with leadership and quality teams on audits, process improvements, and patient satisfaction initiatives.
Oversee overall patient experience and satisfaction and conflict resolution processes within the clinic.
Respond to and resolve patient concerns in a timely and professional manner.
Build and maintain effective working relationships with physicians, staff, and internal/external stakeholders.
Promote a culture of service excellence and professionalism.
Financial Responsibility & Inventory Management:
Support budget planning, monitoring, and variance management.
Ensure staffing and operational activities align with approved budgets.
Identify cost-saving opportunities while maintaining quality of care.
Oversee procurement, inventory control, and maintenance of clinical equipment and supplies.
Ensure availability of required resources while maintaining cost efficiency.
Monitor and optimize workflows and operational processes to improve efficiency and service delivery.
Other Duties as necessary to ensure smooth departmental and Kensington Health's operational needs.
Qualifications
Education and Certificates:
Bachelor's degree in healthcare administration, business administration or a related field is mandatory.
Master’s degree in Healthcare or Business Administration or a related field is an asset.
Green Belt Certification is an asset.
BLS is an asset.
Required Knowledge and Experience:
3+ years of progressive experience in a healthcare environment, including prior supervisory or management experience in an ambulatory or large clinic setting.
Demonstrated ability to lead, coach, and develop multidisciplinary teams, manage performance, and drive accountability.
Experience with budgeting, staffing models, and cost management in a publicly funded healthcare setting.
Strong understanding of clinic operations, patient flow, scheduling, resource management, and Billings.
Knowledge of healthcare regulations, infection control standards, quality improvement methodologies, and patient safety practices.
Experience in a specialty clinic is an asset.
Proficiency with electronic medical records (EMR), scheduling systems, and Microsoft Office applications.

Demonstrates an ability to be flexible, organized, and function in stressful situations.
Ability to work in a fast-paced clinic with excellent time management skills.
Excellent Communication skills.
Able to work with minimal supervision.
