Job description
Job Title: Administrative Assistant (Public Sector)

Location: Edmonton, AB
Duration: 5 Months
Working Hours: Monday to Friday, 08:15 – 16:30 (Alberta Time)

Position Overview

An experienced Administrative Assistant is required to provide day-to-day operational support to a fast-paced team within a public sector environment. This role involves a combination of administrative coordination, financial processing, and organizational support to managers and staff.

Key Responsibilities
  • Provide administrative support to team members and leadership
  • Manage calendars, schedule meetings, and coordinate logistics (including room bookings)
  • Assist with financial processes such as invoice tracking, expense management, and basic reporting
  • Prepare, format, and review documents for accuracy and completeness
  • Maintain both digital and physical records management systems
  • Support meeting activities including agenda preparation, minute-taking, and follow-ups
  • Coordinate events and internal team activities
Essential Qualifications
  • Strong proficiency in Microsoft Word and Excel (document formatting, tracking, reporting)
  • Experience handling invoices, expenses, and basic financial processes
  • Proven ability to organize meetings, events, and logistics
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and work independently
  • Experience with records management (digital and physical)
  • Strong attention to detail with the ability to identify and correct errors
Asset Qualifications
  • Experience working in a government or public sector environment
  • Familiarity with administrative or financial systems (e.g., expense or invoice tracking tools)
  • Experience preparing professional documents such as briefing notes or memos
  • Strong meeting coordination skills (agenda creation, minutes, follow-ups)
  • Experience working with data, analytical, or technical teams
  • Proactive mindset with the ability to anticipate team and leadership needs
