Job descriptionICEEFT is seeking a highly organized, people-oriented professional to join our team as Events & Member Services Coordinator. This full-time, Victoria-based position is a dual-focus role: you will serve as the lead coordinator for ICEEFT’s major events — including the 2027 EFT World Summit — while also providing essential operational support to the team, with a particular focus on member and public communications. This is a role for someone who is equally comfortable managing complex logistical timelines and writing a warm, accurate response to a therapist with a question about their membership. You bring attention to detail, a service orientation, and the kind of calm, steady reliability that keeps a small team running well. The position reports to the Executive Director and involves close collaboration with our President & CEO, as well as a close-knit Operations team. It is primarily work-from-home, with regular in-person meetings in Victoria and occasional travel. Key Responsibilities Event Planning & Coordination - Serve as lead coordinator for the 2027 EFT World Summit and other ICEEFT events, including annual trainer retreats, board retreats, and staff retreats. Events take place in Canada and beyond. - Manage all logistics: venue sourcing and liaison, speaker coordination, vendor contracts, travel arrangements, registration, and attendee communications. - Develop and maintain detailed event timelines and project trackers, flagging risks and keeping stakeholders informed. - Coordinate pre-event planning, on-site execution, and post-event follow-up to ensure each gathering reflects ICEEFT’s values and runs seamlessly. - Support budget tracking for events in coordination with the Executive Director and President. - Research and evaluate future event venues and formats as needed. Team Support & Operations Alongside event cycles, this role contributes to day-to-day team operations across a range of areas, with an emphasis on member and public communications. - Monitor and respond to inquiries across ICEEFT’s member-facing and public-facing email inboxes, supporting our Member Services team in delivering timely, accurate, and warm responses to therapists and the public. - Coordinate volunteer teams drawn from ICEEFT’s global network to review website content and AI-enabled translations for accuracy and professional tone. - Provide general administrative and coordination support to the Operations team, including data entry, record maintenance, scheduling, and documentation. Required Qualifications - Based in Greater Victoria with availability for periodic in-person meetings. - Demonstrated experience coordinating and managing complex events or projects with multiple stakeholders. - Exceptional written communication skills, including the ability to write clearly, professionally, and with a service-oriented tone across a variety of contexts. - Strong organizational abilities; comfortable managing multiple concurrent priorities and timelines without close oversight. - Experience handling high-volume correspondence or customer/member-facing communications in a timely, warm, and supportive manner. - Proficiency with Google Workspace and Microsoft Office tools. - Willingness to travel occasionally for events, retreats, and vendor meetings. Preferred Qualifications - Familiarity with Emotionally Focused Therapy (EFT), or genuine interest in learning about it. - Experience coordinating volunteers or community contributors in a professional or academic context. - Experience with CRM systems, membership databases, or similar tools. - Comfort with project management tools and collaborative platforms (e.g., Notion, Asana, or similar). - Basic knowledge of WordPress or other content management systems. - Interest in the mental health, continuing education, or non-profit sectors.
