Job description
Position Overview Di Brina Family Holdings is seeking a highly skilled, adaptable, and dedicated Personal Assistant to provide exceptional administrative, operational, and personal support to senior leadership. This role requires an individual who is highly organized, detail-oriented, resourceful, and committed to maintaining the utmost privacy and confidentiality. The successful candidate will support both personal and professional responsibilities, ensuring seamless coordination and execution of day-to-day operations across a diverse portfolio of businesses and initiatives. This position requires someone who is willing to step in wherever needed — from executive-level coordination and project support to hands-on operational tasks and general day-to-day assistance. The ideal candidate thrives in a fast-paced environment, can manage shifting priorities with professionalism, and understands the importance of reliability, discretion, and follow-through in supporting leadership effectively. Key Responsibilities Executive & Administrative Support - Manage calendars, meetings, scheduling, and appointments for senior leadership - Coordinate travel arrangements, accommodations, itineraries, and reservations - Draft, organize, proofread, and manage emails, correspondence, and documents - Prepare presentations, reports, meeting materials, and internal documentation - Maintain organized filing systems and confidential records - Track deadlines, follow-ups, and ongoing action items - Assist with internal communications and operational coordination across companies Personal Assistance - Support leadership with personal scheduling, errands, and logistics - Coordinate personal appointments, reservations, and day-to-day requests - Handle confidential matters with discretion and professionalism - Assist with family-related coordination and miscellaneous personal tasks as required - Provide support during evenings or weekends when operationally necessary Operational & General Support - Assist with office organization, inventory management, and supply coordination - Handle mail runs, package pickups, banking errands, deliveries, and miscellaneous tasks - Assist with setting up meetings, events, internal functions, and company initiatives - Support day-to-day office operations and administrative needs across divisions - Coordinate vendors, service providers, and general operational requests - Assist with basic technology coordination and troubleshooting where required - Perform hands-on support tasks to help leadership and operations run efficiently Project & Event Coordination - Support special projects, events, media initiatives, and philanthropic activities - Coordinate logistics, scheduling, and follow-ups for internal and external meetings - Assist with event preparation, setup, and execution - Track timelines and assist with ensuring projects remain organized and on schedule Qualifications & Skills - Strong organizational and time management skills - Exceptional attention to detail and follow-through - Ability to multitask and adapt in a fast-paced environment - Strong verbal and written communication skills - High level of professionalism, discretion, and confidentiality - Ability to work independently and take initiative - Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) - Comfortable handling both executive-level responsibilities and day-to-day operational tasks - Strong problem-solving and critical-thinking abilities - Valid driver’s license and reliable transportation preferred Work Environment & Expectations This position is ideal for someone who is dependable, proactive, and willing to contribute wherever needed.
