Role Overview We are seeking a highly organized and proactive Immigration Legal Administrative Assistant to support our busy practice. This role is best suited for someone who thrives in a fast-paced legal environment, is highly detail-oriented, and brings excellent computer skills along with strong administrative judgment. Key Responsibilities - Open and manage client files, organize documentation, and assign cases to staff - Draft retainer agreements and fee quotes with accuracy and attention to detail - Maintain organized and up-to-date records and file systems - Monitor and manage high volumes of incoming emails, including government and client correspondence - Track critical deadlines and manage multiple calendars with precision - Schedule consultations and appointments, including virtual meetings - Handle reception duties: answering phones professionally, greeting clients, and managing mail and couriers - Manage office supplies and equipment - Process payments, banking, and account creation - Provide general administrative and clerical support as required Qualifications & Requirements - 1–2 years of experience in a law firm (required) - University degree or college diploma - Excellent computer skills, including advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) - Excellent written and verbal English communication skills - Strong organizational skills and exceptional attention to detail - Demonstrated ability to prioritize tasks, manage competing deadlines, and work efficiently under pressure - Able to work independently, take initiative, and maintain accuracy in a high-volume environment Assets (Nice to Have) - Experience in immigration law - Familiarity with PC Law - Knowledge of MyCIC, IRCC, CBSA, and ATIP systems Benefits - Extended health care - Casual dress Location Requirement Applicants must be able to reliably commute to Toronto, ON or plan to relocate before starting.
