We are looking for a Sr. Manager, Recruitment Operations to lead the processes, partnerships, data, and campaign execution that help us connect with patient and caregiver Advocates. This role is ideal for a highly organized, detail-driven operations and project management professional who thrives at bringing structure to complex work, building strong relationships, and finding creative ways to reach healthcare consumers.
You will serve as a trusted partner to internal teams, vendors, and external partners while overseeing recruitment efforts from intake through completion. You will help refine existing workflows, develop new processes, manage data and reporting, and ensure recruitment campaigns are executed with precision, care, and a strong drive for results.
What You’ll Do
As the Sr. Manager, Recruitment Operations, you will play a central role in helping internal teams deliver recruitment solutions for pharmaceutical clients. Your work will directly support our ability to identify and engage patients and caregivers whose stories can educate, inspire, and create connection.
In this role, you will:
- Serve as a primary point of contact for internal teams seeking recruitment support for patient and caregiver Advocate initiatives.
- Manage recruitment campaigns from intake through completion, ensuring timelines, budgets, deliverables, and stakeholder communications stay on track.
- Conduct or oversee research to identify the best recruitment channels, audience targeting inputs, and outreach opportunities.
- Partner with internal teams, vendors, and external partners to launch, monitor, and optimize recruitment campaigns.
- Manage vendor and partner relationships, including onboarding new partners and maintaining clear communication across all stakeholders.
- Review externally facing creative assets and screening materials to ensure they align with recruitment goals, target audiences, and quality standards.
- Oversee recruitment tracking and reporting, including leads, conversion rates, channels, clients, conditions, and campaign performance.
- Build, refine, and maintain high-quality data sets using tools such as Excel and/or Smartsheet.
- Bring structure and process improvements to workstreams, systems, reporting, and campaign operations.
- Manage recruitment budgets and provide timely updates to internal stakeholders.
- Support a high standard of internal and external customer service throughout every phase of recruitment.
What You’ll Bring
We are looking for someone who is both strategic and hands-on. You enjoy solving operational challenges, managing details, improving processes, and collaborating with a wide range of stakeholders.
The ideal candidate will have:
- 3–5+ years of project management, operations, recruitment, marketing, advocacy, agency, or equivalent experience.
- A college degree in any field.
- Strong proficiency with Excel and/or Smartsheet, including experience creating, maintaining, and auditing data sets with exceptional attention to detail.
- Experience managing vendors, partners, direct reports, teams, or cross-functional stakeholders.
- A working understanding of traditional and digital marketing methodologies, along with curiosity and creativity in exploring new ways to reach healthcare consumers.
- Strong organizational skills and the ability to manage multiple workstreams, timelines, and priorities.
- Excellent written and verbal communication skills.
- Confidence working with data, reports, budgets, processes, and campaign performance metrics.
- A track record of bringing clarity, structure, and order to complex or evolving work.
- A collaborative mindset and a commitment to providing outstanding service to internal and external partners.
Experience with biopharmaceutical clients, healthcare communications, advocacy relations, public relations, agency environments, patient recruitment, or patient privacy requirements is very helpful.

Compensation noted on this post is in CAD currency. Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
