POSITION SUMMARY
Reporting to the Director of Economic Development & Airport Services, this position provides comprehensive organizational, special project, and research support to advance key department initiatives and programs. The incumbent ensures efficient workflows, coordinated work processes, and timely completion of deadlines.
DUTIES AND RESPONSIBILITIES (not listed in order of priority)
1. Provide professional organizational and project administration and research support to the Director of Economic Development and Airport Services, and to department managers.
2. Prepare, create and edit correspondence, briefing and summary notes, reports and presentations, including those containing confidential information, ensuring completed materials accurately capture meeting notes and next steps, memo and letter drafting, preparation of agendas and distribution.
3. Collaborate with Department staff on Economic Development & Airport Services projects and initiatives.
4. Prepare Council and Committee reports - drafting, formatting, reviewing and editing. Work with department managers, to actively maintain the Council directives list.
5. Handle confidential and sensitive information and communications, anticipate areas of concern and act appropriately.
6. Conduct research to identify profiles of businesses and contacts, gain insights on programs and processes, and provide relevant information to the Director or department managers.
7. Conduct research and provide input into special projects, programs, policies and procedures as required.
8. Collect information, review agendas for applicable reports, print or prepare required material or reports including those containing confidential information and pertaining to legal, property, labour relations and other matters.
9. Coordinate, organize and actively participate in team meetings, committees, project teams, and budget meetings on a regular basis by scheduling meetings, booking meeting and conference rooms, arranging required resources, preparing and distributing agendas, providing research and insights/input, and recording and circulating detailed minutes, often handling confidential and sensitive information.
11. Monitor relevant news and conduct research on identified issues and how economic development and/or airport organizations are approaching these issues.
12. Schedule, monitor, coordinate and confirm appointments, department events, training and team events, seminars, meeting room availability, conference registration, accommodation, prepare travel arrangements and itineraries for the Director and team members.
13. Manage communications professionally with all internal and external stakeholders, including assistants acting on behalf of local/international company executives and organizations, as well as communications with senior level government officials and their representatives.
14. Provide support to the team in developing marketing and promotional materials.
15. Create, Compile, format and publish content, documents and notices on the Economic Development Office and Lake Simcoe Regional Airport websites and social media sites.
16. Manage and track timelines and deadlines.
17. Input and maintain data in CRM, databases and documents related to Economic Development & Airport Services, including client information.
18. Run reports, review, analyze and distribute them to the Economic Development & Airport Services management team as required.
19. Create, process and receive purchase orders, and monitor POs to ensure timely payments and support project progress.
20. Purchase supplies for department as needed using P card or PO’s. Reconcile P card according to approved policy and procedure. Manage branded clothing and PPE inventory.
21. Maintain, file and coordinate departmental project files and records to the TOMRMS and EDRMS standard.
22. Prepare reports and presentations by compiling PowerPoint, spreadsheet, and graphical materials, uploading reports.
23. Liaise with internal divisions/department contacts as required to follow up on issues.
24. Coordinate, input, and support the Director and Managers in overseeing performance indicators, dashboards, reporting systems.
25. Comply with provincial and County occupational health and safety legislation, regulations, policies and procedures.
26. Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act.
27. Perform other duties as assigned, including redeployment in emergency situations.

EDUCATION, TECHNICAL SKILLS AND CERTIFICATION
• Minimum 3-year Business Administration, Economic Development, Political Science or related undergraduate degree. This job may be considered for educational equivalency in accordance with County Policy.
• Knowledge of Economic Development programs and practices an asset.
• Advanced knowledge of common office applications such as Word, Excel, Outlook, PowerPoint, SharePoint, SAP experience an asset. Salesforce experience an asset. Advanced word processing, spreadsheet, presentation and database application skills. Proven ability to adapt quickly to new software environments.

EXPERIENCE
• A minimum of two (2) years in a similar position.
• Previous experience working in Economic Development an asset.
• Experience coordinating projects, marketing initiatives, business events.
• Experience preparing correspondence, meeting minutes, briefing notes, reports and presentations.
• Demonstrated “Customer First” service treatment of customers, partners and colleagues.
• Demonstrated flexible and positive approach and initiative in completing assignments.
EFFORT
• Mental, aural (listening) and visual effort required when working on the computer, proofreading, preparing agendas, taking minutes, drafting reports or briefing notes or presentations, conducting research etc.
• Coordinating multiple tasks and deadlines.
WORKING CONDITIONS
• This position requires lengthy desk and computer work, attendance at meetings (virtual and in-person).
• Occasional travel within Simcoe County.
• Ability to work remotely if required.
