Job description
Adecco is currently hiring a Document Scanning & Records Support Clerk for a full-time opportunity in Ottawa. This role is ideal for a detail-oriented and reliable individual who enjoys structured, repetitive work in a professional office environment. In this position, you will support document preparation, scanning, and digital records processing to ensure accurate and secure conversion of physical files into electronic formats while maintaining strict confidentiality and data integrity standards.

- Salary: $17.60 per hour

- Prepare physical documents for scanning by removing staples, paper clips, bindings, and other fasteners
- Repair torn or damaged pages using tape and straighten folded or creased documents to ensure proper scanning
- Reposition or secure sticky notes and attachments to ensure all information remains visible during scanning
- Maintain original document order unless otherwise instructed by project guidelines
- Identify document types and apply correct handling procedures for special materials such as booklets, oversized documents, or carbon copies
- Operate scanning equipment to produce clear, accurate, and properly aligned digital images
- Follow established scanning procedures including file naming, batching, resolution, and indexing requirements
- Perform quality checks on scanned files to ensure clarity, completeness, and correct sequencing
- Identify and flag missing pages, unreadable scans, or damaged documents for correction or reprocessing
- Track and maintain control of physical and digital documents throughout the scanning process
- Handle confidential and sensitive information in compliance with privacy and data protection requirements
- Store, return, or dispose of physical documents according to established retention policies
- Maintain a clean, organized, and efficient workspace
- Communicate any issues, discrepancies, or concerns to supervisors in a timely manner
- Must be eligible to work and reside within Canada
- Active Reliability Clearance is required
- High School Diploma or equivalent
- Previous experience in document processing, scanning, or administrative support is considered an asset
- Strong attention to detail with the ability to perform repetitive tasks accurately
- Ability to follow detailed written instructions and operational procedures
- Basic computer literacy and comfort using scanning equipment and document management systems
- Strong organizational skills and ability to maintain document integrity
- Ability to handle confidential information with discretion and professionalism
