Job description

Job Title: Event Planning Specialist (Contract)

Location: Toronto, ON (Hybrid – 3 days onsite)
Schedule: Standard business hours (flexible between 8:30 AM – 5:00 PM)
Duration: Contract through December 30, 2026 (potential for extension or conversion)
Start Date: ASAP

Overview

We are seeking an ambitious, energetic, and detail-oriented Event Planning Specialist to support a global events team on a temporary basis. This role will lead and execute a variety of corporate events, including high-visibility engagements with senior leadership, while covering for a team member on leave.

The ideal candidate is a proactive, organized professional who thrives in a fast-paced environment and can independently manage event logistics from concept through execution.

Key Responsibilities

  • Lead end-to-end planning and execution of assigned corporate events
  • Collaborate with internal stakeholders, leadership teams, and global partners
  • Conduct venue sourcing, outreach, and site inspections
  • Negotiate contracts with hotels, venues, and vendors
  • Manage event budgets, track expenses, and perform post-event reconciliation
  • Coordinate all event logistics, including:
    • Timelines and project plans
    • Attendee communications and registration
    • Travel and accommodation arrangements
    • Food and beverage planning
    • Speaker coordination
    • Audio/visual and production needs
    • Branding, materials, and shipping logistics
    • On-site event execution and teardown
  • Partner with caterers, vendors, and external providers to ensure high-quality delivery
  • Recruit and coordinate volunteers or on-site support staff as needed
  • Maintain and update event calendars and schedules
  • Support process improvements related to event planning, budgeting, and technology
  • Work closely with the global events team to enhance overall attendee experience

Qualifications

  • Bachelor’s degree required
  • Minimum of 3 years of event planning experience, preferably in corporate environments
  • Experience supporting executive-level or C-suite events preferred
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience with event management platforms such as Cvent is a plus
  • Experience managing both in-person and hybrid events
  • Strong organizational and project management skills
  • Excellent communication and stakeholder management abilities
  • Ability to work independently with limited supervision
  • Willingness to travel and support events on-site
  • Flexible availability, including evenings and weekends as needed
  • Ability to lift materials up to 30 lbs
