Opportunity
We are recruiting a Refugee and Specialized Programs Coordinator to support the day‑to‑day delivery of Refugee & Specialized IRCC Programs by coordinating RISE client referrals, supporting effective case management, and assisting program staff with efficient service delivery. This role contributes to program operations, data tracking and reporting, policy and tool development, and collaboration with internal teams and community partners to ensure high‑quality, client‑centered services for refugees and marginalized newcomers.
The Key Areas of Responsibility are:
- Coordinates all IRCC Refugee & Specialized Programs client referrals. This includes receiving all IRCC client referrals and distributing to Adult and Youth RISE Case Specialists, 2SLGBTQI+ Case Specialist and Family Counsellor for Healthy Self, Healthy Families accordingly;
- Maintains records and monitors waitlists and notifies the Manager of any waitlists and trends of emerging client referrals;
- Works with RISE Case Specialists to determine case management capacity to maintain efficient flow of client referrals;
- Overseas the day-to-day operation of the program by coordinating necessary facilities (office space sharing), tools and resources;
- Provides support and input for IRCC program guidelines and policies (such as mandatory training attendance), and program standards (such as CARF) and licensing requirements;
- Maintains related records and statistics on CRM and compiles program data for IRCC reporting or for submission to the Manager;
- Supports the development, modification and maintenance of the CRM and all other program tracking tools to align with the needs of Refugee & Specialized programs service delivery;
- Consults with the Manager to coordinate monthly program meetings and program activities as well as maintains workshop schedules;
- Coordinates program outreach activities and represents IRCC programs in external meetings/events where necessary;
- Shares and collects mutually relevant information with internal departments and community partners; Facilitates referrals to the program;
- Promotes public awareness of and support for the program using promotional materials, conducting marketing campaigns, and attending community events;
- Researches and compiles a comprehensive database of community resources networks to ensure effective program referrals;
- Provides input for program capacity building;
- Conveys recommendations to Manager regarding program development, policy and procedure formulation and program evaluation;
- Adheres to agency policies and procedures and standards of practice;
Qualified Candidates will Possess:
- Diploma in a related human /social service related field.
- Two years recent related experience; or an equivalent combination of education, training & experience Program/Project Coordination.
- Experience working with refugees and marginalized newcomers with a strong knowledge of the settlement sector;
- Demonstrated knowledge of case management framework;
- Demonstrated ability to work successfully and cooperatively on interagency project initiatives;
- Demonstrated experience and ability working with diverse populations;
- Excellent written and spoken English;
- Excellent organizational and time management skills;
- Sound knowledge of community resources and ability to network and build partnerships;
- Ability to work with minimal supervision and meet deadlines;
- Ability to use a computer, including MS Windows, MS Word and the internet;
- Demonstrated ability to work independently, problem solve with confidence to ensure effective case management;
- Working knowledge of standard office equipment and software applications;
- Ability to work a flexible schedule.
