This is a contracted position for 1 year with potential to turn into a permanent role. Who we are looking for?
We are looking for someone who is ready to build systems, improve workflows, and help shape how information moves through the organization.
You will be the “boots on the ground” for our digital transformation.
Working directly alongside our IT Manager, you will help build and maintain our modern digital infrastructure by migrating data and processes from Smartsheet, Nextcloud, spreadsheets, and other siloed systems into a structured Microsoft 365 environment.
This role is heavily focused on systems, workflows, data organization, automation, and long-term operational improvement.
While this is not a traditional help desk role, you will be part of a collaborative IT team and will share responsibility for supporting staff when needed.
Staying connected to day-to-day operational issues is an important part of building workflows and systems that are actually useful in practice.
You will partner closely with our IT Manager, who oversees broader IT infrastructure, vendor management, security strategy, and hardware lifecycle. While he provides institutional context and high-level direction, you will take a leading role in building and improving Microsoft 365 workflows, SharePoint architecture, structured data environments, and automation systems that support the organization long-term.
The primary duties and responsibilities for this role include: Migrate siloed data (Nextcloud, Smartsheet, spreadsheets, and other disconnected sources) into a secure, organized SharePoint and Teams environment Build Power Automate workflows and Microsoft Forms to turn manual, email-based processes into structured, trackable systems Help improve how information, requests, and approvals move through the organization Assist in maintaining endpoint management and security using Intune, Defender, and Xcitium Write clear, practical documentation and “how-to” material so staff can effectively use the systems being built Work with both technical and non-technical staff to understand operational pain points and improve workflows over time Participate as part of the IT team in supporting staff when needed, including troubleshooting issues, onboarding/offboarding, access management, and device deployment Assist with operational and administrative IT responsibilities that keep the organization running smoothly, including onboarding/offboarding, account provisioning, access management, hardware/software coordination, licensing, documentation upkeep, and maintaining organized internal systems and records Your Education: 2-4 years in IT Operations, Systems Administration, Workflow Development, Data Management, or similar technical roles.
Key Job Requirements: Microsoft 365 Skills Real hands-on experience with SharePoint structure, permissions, data organization, Microsoft Forms, and Power Automate workflows Systems and Workflow Thinking You naturally look for ways to reduce repetition, improve structure, and make systems easier to maintain over time Communication You can explain technical concepts clearly to non-technical staff and gather useful information from vague or incomplete requests Attention to Detail You understand that small mistakes in permissions, workflows, or data structure can create major operational and security problems.
You check your work carefully before considering it complete.
Curiosity and Initiative You enjoy learning new systems and tools, figuring things out, and improving how work gets done Tools You Will Use: Microsoft 365 (SharePoint, Teams, Lists, Forms, Power Automate), Intune/MDM, Entra ID, Defender, Xcitium, 3CX phone systems, Smartsheet, Nextcloud, PowerShell, and AI-assisted tools.
