Not the agenda. Not the logistics checklist. The detail that keeps 400 attendees informed before they think to ask. The rooming list is reconciled before it becomes a problem. The air coordination completed so smoothly that no one notices it happened at all.

That’s the standard at Encore. And we’re looking for the person who holds it.

The role

As a Meetings and Events Coordinator at Encore, you are the through line of every event you touch: from the first planning call to the final post event summary. You own the logistics. You protect the experience. You connect the teams, the suppliers, the clients, and the technology that makes it all work.

This is not a support role. It is a coordination role in the fullest sense: you lead, you anticipate, you resolve, and you deliver.

What you’ll do

Own the event from start to finish.

Lead your assigned meetings and events through every phase: planning, execution, and post-event wrap-up. Coordinate hotel sourcing, contracting, and rooming lists directly with hotel partners. Manage attendee logistics, ground transportation, and on-site support. Maintain detailed project plans, timelines, and communications throughout the event lifecycle.

Partner closely with Group Air.

Provide the Group Air team with complete traveler, event, and policy details. Step in on air bookings when needed to keep service continuous. You are the bridge between what the event requires and what the travel program delivers.

Connect the teams that make it happen.

Act as the main coordination point across Group Air, Customer Success, Finance, Commercial, and Operations. Lead internal and client meetings. Surface risks early. Resolve issues before they reach the client. The events that run most smoothly are the ones where no one had to wonder who was handling it.

Build and manage the technology that supports every event.

Define registration setup, approval workflows, attendee communications, and reporting requirements. Collaborate with Customer Success on platform configuration. Conduct UAT and confirm readiness before launch. Ensure accuracy across all reporting tools and event systems. Prepare flight manifests, registration reports, and post-event summaries. Partner with Finance on budget tracking, billing accuracy, and reconciliation.

Represent Encore to every client and supplier.

Serve as the primary contact for travel and logistics coordination. Work directly with hotels, venues, and suppliers to confirm timelines and deliverables. Build the kind of relationships that last. At Encore, a smooth event is the beginning of a long partnership, not the end of a transaction.



Requirements

Required

  • 3+ years in event coordination, group travel management, or operations
  • Strong working knowledge of hotel contracting, rooming list management, and air travel logistics
  • The organizational discipline to manage multiple projects simultaneously without losing a detail
  • Communication skills that are clear, proactive, and client-focused
  • Proficiency with Microsoft Excel and business software

An asset

  • Experience in a corporate travel or event management environment
  • Familiarity with OBTs, registration platforms, and reporting tools
  • Experience working with implementation or technology configuration teams
  • Knowledge of air booking processes and fare rules
  • Experience with project management platforms such as Asana, Smartsheet, or Monday

Le rôle

Comme Coordonnateur, Réunions et Événements chez Encore, vous êtes le fil conducteur de chaque événement qui passe entre vos mains : du premier appel de planification jusqu’au bilan final. Vous tenez la logistique. Vous protégez l’expérience. Vous reliez les équipes, les fournisseurs, les clients et les outils qui font que tout fonctionne.

Ce n’est pas un rôle de soutien. C’est un vrai rôle de coordination : vous menez, vous anticipez, vous réglez, vous livrez.

Ce que vous ferez

Mener l’événement du début à la fin.

Prendre en charge vos réunions et événements à chaque étape : planification, exécution, clôture. Coordonner la recherche d’hôtels, les contrats et les listes de chambres directement avec les partenaires hôteliers. Gérer la logistique des participants, le transport au sol et le soutien sur place. Garder vos plans de projet, vos échéanciers et vos communications clairs d’un bout à l’autre.

Travailler main dans la main avec l’équipe voyages.

Donner aux agents tout ce qu’il faut sur les voyageurs, l’événement et la politique de voyage. Prendre le relais sur les réservations aériennes quand il le faut, pour que le service ne s’arrête jamais. Vous êtes le pont entre ce que l’événement demande et ce que le programme de voyage livre.

Mener la coordination entre équipes.

Être la personne qui tient le fil entre les agents, les équipes internes et le client. Mener les rencontres, internes et avec le client. Repérer ce qui pourrait déraper et le régler avant que ça atteigne le client. Quand un événement se déroule sans accroc, c’est parce que quelqu’un, en arrière, s’est assuré que tout le monde savait quoi faire et quand le faire. C’est vous.

Configurer et gérer la technologie derrière chaque événement.

Définir l’inscription, les approbations, les communications aux participants et les besoins en rapports. Travailler avec Customer Success sur la configuration de la plateforme. Faire les tests et confirmer que tout est prêt avant le lancement. Vous assurer que les chiffres tiennent dans tous les outils et tous les systèmes d’événement. Préparer les manifestes de vol, les rapports d’inscription et les bilans post-événement. Travailler avec Finance sur le budget, la facturation et la réconciliation.

Représenter Encore auprès de chaque client et fournisseur.

Être le contact principal pour tout ce qui touche au voyage et à la logistique. Travailler directement avec les hôtels, les salles et les fournisseurs pour confirmer les échéances et les livrables. Bâtir le genre de relations qui durent. Chez Encore, un événement bien mené, c’est le début d’un partenariat, pas la fin d’une transaction.

Essentiel

  • 3 ans et plus en coordination d’événements, en gestion de voyages de groupe ou en opérations
  • Une vraie connaissance des contrats hôteliers, des listes de chambres et de la logistique aérienne
  • La discipline pour mener plusieurs projets en même temps sans en échapper un
  • Une communication claire, proactive, tournée vers le client
  • À l’aise avec Microsoft Excel et les outils de bureau

Un plus

  • De l’expérience en voyages d’affaires ou en gestion d’événements
  • Une familiarité avec les OBT, les plateformes d’inscription et les outils de rapports
  • Du travail aux côtés d’équipes d’implémentation ou de configuration technologique
  • Une connaissance des processus de réservation aérienne et des règles tarifaires
  • De l’expérience avec des plateformes comme Asana, Smartsheet ou Monday
