We are looking for an administrative assistant to join our Ottawa team, at the heart of a professional environment that is both stimulating and collaborative.
Work location: 123 Slater Street, Suite 901, Ottawa, Ontario K1P 5H2
Key responsibilities
- Take charge of detailed legal billing with rigor and precision.
- Prepare, review, and issue client invoices in accordance with the firm’s policies.
- Open and maintain client files in compliance with the Law Society of Ontario
- Monitor disbursements and ensure their accurate inclusion in billing.
- Manage all correspondence and the scheduling of meetings.
- Perform various word-processing tasks, including formatting, proofreading, and drafting administrative documents.
- Provide versatile administrative support that contributes to the team’s day-to-day success.
Qualifications and Skills
- Possess 3 to 5 years of experience in a similar role
- Strong proficiency with the Microsoft Office suite, particularly Excel, Word, and Outlook
- Solid organizational skills and the ability to manage priorities effectively
- Meticulous attention to detail and a well-recognized sense of organization
- Ability to anticipate needs and work independently
- Bilingual (strong asset)
- Experience in a law firm or an in-house legal department (strong asset)
- Knowledge of the Maître billing software (an asset)
- Knowledge of the iManage document management system (an asset)
