Nature and Scope
The Project Manager is responsible for leading the full delivery, administration, relationship experience and completion for the Fellows Program. This role serves as the primary relationship holder for all Fellows, ensuring each participant receives individualized support, leadership development guidance, and a culturally grounded learning environment. The Manager oversees the execution of all program components, including retreats, gatherings, mentorship, and program adaptation while working collaboratively with Elders, Knowledge Keepers, mentors, coaches, and internal Saskatchewan Indian Institute of Technologies and Gabriel Dumont Institutes partners. The Project Manager may lead or support the delivery of other strategic projects and initiatives as required. This position will positively promote and create an environment that aligns with the vision, mission and values of partnership organizations – Gabriel Dumont Institute and Saskatchewan Indian Institute of Technologies.
General Accountability
The Project Manager will be accountable for overseeing all aspects of the project from start to finish, including project planning, administration, monitoring, budget management, stakeholder engagement, and project delivery of the Fellows program. This includes managing program planning and timelines, supporting Fellow leadership development, coordinating mentorship and coaching relationships, and guiding the execution of retreats and learning experiences. The role ensures the program is delivered with high quality, cultural integrity, and responsiveness to participant needs. The Project Manager will have strong project management skills, experience working with Indigenous communities and a passion for creating positive social impact. This position provides additional support as required and includes the following broad range of accountabilities:
Specific Accountabilities
Project Management & Administration
- Manage program and project timelines, retreat planning, mentorship coordination and administrative needs
- Oversee logistics for all in‑person and virtual learning experiences including venue, travel, materials, communications
- Work closely with the Coordinator to ensure seamless program and project operations, budget tracking, resource management, and recordkeeping
- Manage the entire lifecycle of the project, from strategic planning through to project completion and reporting
- Develop and manage project plans, timelines, and budgets
- Engage with internal and external stakeholders to identify and define project requirements, scope, objectives and deliverables
- Establish and maintain effective relationships with stakeholders, including Indigenous communities, and employers
- Lead project team members and ensure effective collaboration and communication
- Monitor project progress and adjust as necessary to ensure successful project delivery
- Manage changes to the project scope, schedule and costs as required using appropriate verification and communication techniques
- Identify and manage project risks and issues
- Ensure efficient delivery of project goals, outcomes and deliverables and effective quality control
- Compile and analyze data and information and make strategic recommendations to leadership
- Create and maintain comprehensive project documentation
- Develop and implement project communication and engagement strategies
- Oversee project correspondences and prepare and review project related emails, letters, proposals, memos, meeting minutes and other documents
- Champion positive working relationships across the various stakeholder groups
- Ensure compliance with relevant policies and regulations
Partnering & Reporting
- Prepare and submit reports to internal and external stakeholders as required; participate in project follow-up surveys
- Organize and facilitate engagement sessions with First Nation communities, stakeholders, and partners
- Ensure clients and stakeholder needs are met as the project evolves, and collaborate on strategies where applicable
- Develop engagement strategies, resources and session materials
- Monitor progress toward goals and milestones and provide regular project progress reports to the Director; prepare and deliver project status reports and presentations to internal and external partners and stakeholders
- Ensure strict confidentiality and privacy of information as it relates to fellows, clients, staff, partners, and other third parties
- Contribute to strategic effectiveness by participating on internal and external committees, as requested
Resource Allocation
- Ensure resources are allocated in accordance with the financial planning, operating budget and SIIT processes
- Ensure sufficient resources are available to implement project
- Review purchase orders for accuracy pertaining to the project
- Review invoices and expenses for payment as related to the project
- Ensure the strict confidentiality and privacy of information obtained
- Monitor legislation, regulations, policies, and procedures applicable to reporting and operations to ensure compliance
People Management and Leadership
- Coach, train and develop employees to ensure growth and development
- Model relational leadership that aligns with Indigenous values, trauma‑informed practice, and the Fellowship's leadership philosophy
- Foster a supportive, inclusive environment for both staff and Fellows
- Conduct regular reviews with direct reports; ensure adherence to SIIT policies and procedures
- Ensure a positive, diverse, inclusive work and learning environment
- Assist in building and leading the department through employee selection
- Demonstrate leadership and initiative in sharing expertise with other team members
Required Qualifications and Experience: A degree in business administration, management, or a related field, along with three to six years of related experience in project management, preferably in a social impact or community development context. Project management certification or designation is an asset. An equivalent combination of education and experience may be considered. Knowledge of relevant policies and regulations, including those related to leadership programs. Experience supporting or delivering leadership programming, training initiatives, fellowships, or a demonstrated strong interest in leadership development and capacity‑building for emerging leaders. Experience working with First Nation communities and knowledge of Indigenous cultures and traditions would be an asset. Candidate must have a valid driver's license and reliable transportation as travel may be required.
