Summary
The Executive Assistant provides professional administrative support by performing confidential and general administrative duties for the President and COO. The Executive Assistant will assist in data collection; data analysis; and aid in coordination/completion of all types of general office and administrative duties that influence the business.
Duties and Responsibilities
- Promotes positive public and employee relations by providing professional assistance to all guests, visitors and vendors of the President.
- Maintains confidential and sensitive written and oral information.
- Tidy, cleans and maintains a professional executive area, including supplies.
- Generate, analyze, and distribute various business reports, presentations, contracts, and proposals.
- Communicates general information through email broadcasts, including Mullen Group, Winnipeg Moving, Harris Transport, Courtesy communications.
- Conserves the Presidents time by reading, researching and routing correspondence; drafting letters, documents, collecting and analyzing information, initiating communications.
- Organizes President’s schedules, and coordinates meetings.
- Arranges travel and accommodations (hotel, car rental, etc.).
- Coordinate media as needed.
- Acts as a liaison for President and COO for external sources.
- Administers and manages the company’s branded product supplies.
- Administrator for special projects.
- Liaises with marketing firms on creation and print of company materials, such as yearly calendar including arranging photographer to ensure standard of company graphics.
- Responsible for preparing and taking meeting minutes.
- Compiles and distributes the company’s corporate newsletter, including writing articles and designing graphic elements.
- Mediates the President’s needs while out of Head Office an aids in off-site errands as needed.
- Manages petty cash disbursements.
- Participates and supports all Health & Safety initiatives.
- Supports senior management administrative needs.
- Maintains the company directory.
- Coordinates participation in external events, such as fundraisers, golf tournaments, sporting events, etc.
- Other personal and/or administrative duties for the President.
Qualifications
Post Secondary education in Business Management with at least 3 years of experience in a similar position. Excellent communication and interpersonal skill set that fosters working relationships and supports your focus on overcoming challenges, creating solutions, and implementing improvements. Integrity; customer-service skills; familiarity with business principles and practices; superior attention to detail; planning skills; problem-solving skills; analytical skills; critical thinking skills; ability to manage confidential and sensitive issues. Excellent mathematical skills; understanding of data privacy standards. Experience working in a multifaceted organization will be considered beneficial.
Proficiency in Microsoft Office Platforms, as well as Teams and WebEx required.
Physical Requirements
For this position you will be required to sit predominantly using a PC for long periods of time to entirety of shift. You must be able to lift up to 30 pounds.
