Job Description

Position Summary

The EDI Associate is responsible for the day-to-day execution of order management, shipping, and receiving activities within our V2C and B2C business models. This role ensures that data flows accurately between our vendor partners and our internal systems, including SAP, EDI Portal, and the Order Management Systems. The Associate serves as the primary point of contact for vendor inquiries, ensuring a high level of service and operational efficiency for key accounts.

Core Responsibilities

Order Management & Systems Execution

  • Data Processing: Perform daily order entry, expediting, and shipment information updates for major retail partners.

  • Order Management Operations: Execute daily shipping and receiving tasks and perform necessary "order fixes" within the Order Management System to ensure fulfillment accuracy.

  • Technical Monitoring: Utilize SAP and EDI Portal to monitor order flow and identify any technical discrepancies or transmission errors that require attention.

  • B2C Support: Manage the end-to-end order lifecycle for e-commerce orders, ensuring direct-to-consumer fulfillment requirements are met with precision.

  • Inventory Maintenance: Provide accurate, quoted pricing and inventory availability to customers as required through established channels.

Communication & Partner Relations

  • Vendor Correspondence: Act as the frontline contact for vendor partners, responding to all inquiries via email or phone in a professional, helpful, and timely manner.

  • Problem Resolution: Investigate and resolve customer concerns regarding order status, shipping delays, or data errors.

  • Proactive Communication: Notify customers and internal stakeholders immediately regarding supply chain issues and assist in providing alternative solutions.

  • Team Collaboration: Partner with Operations and other departments to ensure order flows align with broader business goals.

Process Improvement

  • Skill Development: Actively participate in training to expand technical proficiency in SAP and EDI processing.

  • Feedback Loop: Identify opportunities to improve the efficiency of daily operations and provide specific recommendations to the EDI Manager.

Success Metrics (KPIs)

  • Fulfillment Speed: Contribute to a departmental "Ship on Time" rate of 98% or above.

  • Order Accuracy: Maintain individual "Cuts and Cancels" at below

  • Service Excellence: Ensure all assigned vendor emails and inquiries are acknowledged and actioned within the established team turnaround time.

Qualifications

  • Hockey & Sports Knowledge: While not required, a strong familiarity with hockey and the sports industry is highly beneficial, as it provides valuable context for our product lines and helps ensure accuracy when managing orders for our specialized partners
  • Experience: 2–5 years of related experience in customer service, order management, or EDI operations.

  • Education: High School Diploma or equivalent required; Bachelor's degree preferred.

  • Technical Skills: Working knowledge of SAP or similar ERP systems; familiarity with EDI/API platforms and order management hubs is a significant plus.

  • Communication: Strong written, verbal, and telephone skills with a focus on professional, "customer-first" interactions.

  • Detail Orientation: High degree of accuracy in data entry and a proactive approach to problem-solving.
  • Analytical & Curious: Driven by data and a desire to find the most efficient solutions through market research.

  • Persuasive & Diplomatic: Able to push for better deals and favorable terms while maintaining professional and positive vendor partnerships.

  • Highly Organized: Capable of juggling multiple timelines, POs, and technical logistics details without error.

  • Predictive & Proactive: Anticipates material requirements and inventory shifts to mitigate risks before they impact production.

  • Detail-Oriented: Maintains a "hawk-eye" on the bottom line, catching small discrepancies in invoices and contracts.

  • Collaborative Mindset: Prioritizes "team wins" over individual metrics; shares knowledge freely and supports fellow procurement members.

  • Principled & Ethical: Deeply committed to ethical sourcing and corporate

  • Sports Enthusiast: Knowledge of major sports leagues (NHL/NBA/NFL/MLS/MLB) would be an asset.
