Job Summary
The Registrar’s Office (RO) is a large, multi-unit, multi-site operation involved in the entire academic experience of Dalhousie students. Reporting to the Assistant Registrar, Registration and Academic Scheduling, the Registration and Academic Scheduling Clerk is responsible for the maintenance of the University’s Academic Timetable, the production and maintenance of the University’s Approved Course Catalogue, the production of the Formal Examination schedule and scheduling exam invigilation services for students writing exams for courses at other institutions.
Key Responsibilities
- Maintain the University’s academic timetable, including additions, deletions, and modifications to course offerings.
- Liaise with academic departments and internal staff regarding course offerings and related details, including troubleshooting errors that may be affecting students’ ability to register in courses.
- Schedule midterm examinations and other course-related activities.
- Maintain the University’s Approved Course Catalogue, including additions, deletions, and modifications, ensuring consistency with University policies and regulations.
- Produce the Formal Examination Schedule for the University each term, including scheduling large and small examination venues and scheduling both Chief and Assistant Examination Invigilators.
- Schedule invigilation services for students and community members writing examinations from other institutions (external examinations).
Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.
Required Qualifications
- Business/Office Administration program with approximately five years’ related work experience (or equivalent combination of training and experience).
- Proficiency in MS Office (Word, Excel, Access) .
- Excellent communication, interpersonal and organizational skills.
- Ability to work independently with close attention to detail and ability to establish priorities to meet conflicting deadlines.
Assets
- Experience in Banner Production, or a related system.
- Experience with Infosilem EnCampus Suite.
- Experience in a university environment.
