HR Operations International provides the operational foundation of HR across Royal Greenland’s international organisation.

Your role
In this role, you will support local HR operations in Poland while also contributing to international HR activities and global HR projects in close collaboration with HR Operations International.
The role is part of the ESSC organisation in Gdansk with a functional reporting line to the Head of HR Operations International.
In day-to-day operations, the role works closely within the ESSC organisation and coordinates ESSC-related activities with the local manager.
You will act as a trusted HR specialist for employees, managers and external vendors and play an active role in establishing, optimising and standardising HR processes across the organisation.
Key responsibilities
Your role combines hands‑on HR operations with process development and international collaboration.
HR Operations & Employee Lifecycle
- Preparing and maintaining employment contracts, annexes and HR documentation
- Managing and updating employee records and personnel data in compliance with GDPR
- Handling onboarding and offboarding processes, incl. support in termination cases
- Advising managers and preparing data related to employee changes
- Monitoring absence, calendars and HR‑related deadlines
- Establishing, documenting and improving HR processes related to the employee lifecycle
Payroll, Benefits & External Vendors
- Acting as primary contact point for payroll
- Preparing and validating monthly payroll reports and data
- Managing employee benefits schemes and negotiating benefit agreements
- Supporting audits and payroll‑related inquiries
- Ensuring clear and well‑defined interfaces between HR, payroll and external vendors
Recruitment, Engagement & Internal Communication
- Managing recruitment processes: job postings, CV screening, interviews and coordination
- Supporting employee relations and providing confidential guidance in conflict situations
- Identifying internal team needs and organisational challenges
- Handling internal HR communication
- Organising onboarding activities, internal workshops and team events
HR Development & Global Collaboration
- Updating and improving HR procedures, policies and regulations
- Aligning local HR processes with international standards
- Participating in global HR projects together with Corporate HR
(e.g. onboarding standardisation, employee surveys, process harmonisation) - Supporting implementation of international HR initiatives and best practices
Administrative & Operational Support
- Coordinating business travel (hotels, flights, expense reimbursement)
- Managing contracts and documentation related to HR and external vendors
- Supporting HR‑related IT processes
- Overseeing office supplies ordering and ESSC‑related administrative needs
Your profile
You are a structured and service‑minded HR professional who enjoys working close to daily HR operations, while also taking ownership of improving processes.
We expect that you:
- Have 3–5 years of experience in an HR Specialist / HR Generalist role
- Have strong knowledge of Polish labour law and HR administration
- Have experience working in an international or cross‑border HR environment
- Are confident working with external vendors (payroll, benefits, accounting)
- Work independently and take ownership of tasks and processes
- Communicate clearly and collaborate well with colleagues across countries
- Professional proficiency in English, verbally and in writing
