Job Details
The City of St. Albert is recruiting an individual to join our Public Operations department as an Administrative Assistant II. Reporting to the Office Administrator, this position will be responsible for providing a range of entry level administrative support, reception, and customer service to all members of department or as part of a front-line service provision to citizens.
Responsibilities
- Act as the first point of contact, handling a high volume of public inquiries primarily by phone with professionalism, confidence, and effective de‑escalation skills.
- Create and manage Customer Service Requests for all inquiries, maintain files, distribute department mail, and provide responsive administrative support to colleagues.
- Accurately process invoices, create purchase orders, verify expenditures, manage digital approval workflows, and support payroll and timesheet processing for Public Works union employees.
- Provide coverage for administrative staff as required, contributing to continuity of service through strong organization, time management, problem‑solving, and teamwork.
Qualifications
- High school diploma combined with 3 years of related experience. Preference will be given to candidates with experience in municipal government.
- Completion of, or working toward, a post secondary administrative certificate program (such as an Office Administration Certificate) is preferred.
- Knowledge of Protection of Privacy Act (POPA) and Access to Information Act (ATIA).
- Ability to interpret and apply a Collective Agreement for accurate time coding.
- Strong word and data processing skills using programs of the MS Office suite (Word, Excel, and Outlook primarily)
- Proven interpersonal and conflict resolution skills, with the ability to remain calm and effectively de-escalate tense or challenging situations.
- Strong time management and organization skills, with an ability to thrive in a fast-paced environment. Extensive working knowledge and proficiency using the Microsoft Office Suite programs.
- Familiarity with Public Works and/or Utilities operations is an asset.
- Equivalent combinations of experience and education may be considered.
Hours of Work
We offer schedule of up to 40 hours/week between the hours of 7:00 am – 4:00 pm. Hours worked will vary based on operational needs.
Compensation
- The salary ranges from $53,777.36 – $64,183.34 per year, including a comprehensive benefits package with a flexible spending account, pension plan, and accrued paid vacation starting at 3 weeks per year.

- Candidates not meeting the full qualifications may be considered for a development opportunity at a lower classification and salary.

Term
This position has an end date of December 31, 2026, with a possibility of an extension.
