The Office of the Registrar is responsible for student recruitment and admissions, direct and online service to current students, including registration, financial aid, scholarships, academic assessments, graduation and petitions. It also provides course scheduling, administration of tests and exams, enrolment data analysis and business intelligence.

Your opportunity:


Working under the direction of the Assistant Registrar, Petitions, and working closely with the Petitions Assistant, you will review and issue decisions on routine petitions submitted by students to the Office of the Registrar. You will identify petitions that involve more complex issues and escalate them as necessary. You will also provide detailed information on processes, policies, and procedures, advising students, faculty and staff on appropriateness and precedents for petitions and appeals and suggesting alternative course of action as necessary. In addition, you will liaise with instructors and academic departments to gather information and ensure the timely resolution of petitions. You will also be involved in process streamlining and systems enhancements to improve the petitions process. Grounded in principles of equity and inclusion, your work in petitions will help to remove barriers and will support student success, while at the same time upholding the academic mission.

Your responsibilities will include:

  • Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary
  • Writing routine documents and correspondence
  • Formulating petitions for special consideration
  • Providing detailed information to committee members on petition and/or appeal rules, guidelines and procedures
  • Reviewing and assessing petitions for special consideration
  • Leading seminars and/or workshops
  • Resolving issues within the scope of the role and escalating problems as required
  • Directing the activities of casual staff

Essential Qualifications:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum four (4) years of related work experience in registrarial and/or academic advising to students in a post-secondary environment.
  • Experience interpreting and applying academic policies, regulations and procedures.
  • Knowledge of FIPPA (Freedom of Information and Protection of Privacy Act).
  • Demonstrated experience advising students and experience working with students under emotional stress.
  • Strong computer skills with experience in Microsoft Office including Word and Excel.
  • Ability to work independently and in a team environment.
  • Familiarity with a student database system such as ROSI/ACORN or similar student information database system.
  • Strong verbal and written communication, organizational and multi-tasking skills.
  • Demonstrated commitment to provide quality service to students in a fast-paced customer service environment.
