The Specialist, Project Operations is responsible for driving predictable, high-quality delivery across a set of clients in North America. This role is the day-to-day operational backbone for project health - keeping schedules and workflows current, coordinating alignment, maintaining process, and supporting clean feedback loops that keep deliverables aligned to expectations and brand.
This role partners closely with Client Partnership and cross-functional teams to reduce friction, surface risk early, and enable on-time, on-budget delivery.

Key Responsibilities:
- Create and manage delivery plans for assigned projects, including scope, timeline, budget, dependencies, and risk mitigation
- Lead delivery planning in partnership with Client Partnership, including timeline tradeoffs, scope impacts, and escalation management
- Manage project budgets against approved scope, flagging margin or overage risks with recommended actions
- Inform resourcing conversations with department leads to ensure project plans are realistic and achievable
- Maintain project schedules/workflows; track deliverables and deadlines.
- Coordinate kickoffs, check-ins, and ensure internal delivery team alignment.
- Manage day-to-day communication between internal teams and stakeholders; clarify dependencies and handoffs.
- Support QA checks and post-project learnings to improve quality and repeatability over time.
- Budget tracking, billing coordination in partnership with Finance and Client Partnerships, and reporting health; flag variances early with recommended actions.
- Capture requirements/feedback clearly and route to the right owners; confirm acceptance criteria and next steps.
- Keep operating artifacts current (timelines, status docs, risk/decision logs, meeting outputs) as a single source of truth.
- Manage internal feedback loops and support Client Partnership with client feedback loops; ensure deliverables align to expectations/brand.
- Issue identification and escalation within both department and client structure

- Ensure operational / project tracking tools are used consistently, keeping tickets, documentation, and status updates clean and current.
- Support production readiness by coordinating approvals processes and ensuring dates, review cycles, and stakeholders are clearly documented and understood.
- Manage day-to-day progress and proactively surface risks, scope creep, or blockers; coordinate mitigation and escalation through the right channels.
- Support integrated project organization by maintaining schedules, assets, and key project information so teams can execute efficiently.
- Help coordinate wrap-up activities (final documentation, deliverable closeout) and support bug/issue tracking until resolution where applicable.
- Identify and implement small, practical process improvements that reduce rework and improve throughput; reinforce standard templates and checklists.
- Support new business and internal initiatives by organizing timelines, coordinating inputs, and maintaining clarity across stakeholders as requested.
