Job description
Are you a proactive administrative professional who thrives in a fast-paced, high-stakes environment? Do you have a knack for anticipating needs before they are even voiced? We are seeking a dedicated Legal Assistant to provide high-level support within a premier litigation practice in downtown Toronto. This is a unique opportunity for a professional in business administration to blend traditional legal expertise with executive-level strategy.

For this role, we are looking for a Legal Assistant who isn't just looking for a job, but a partnership. You will be supporting a high-profile practice where 80% of your impact comes from executive-level coordination and 20% from specialized litigation support.

The ideal Legal Assistant for this business administration role is someone who views themselves as a "mind-reader"—someone who can manage a high-volume inbox, oversee complex calendars, and maintain seamless operations for a busy litigation team. If you are a master of detail and a proactive problem-solver, this is the career move you’ve been waiting for.

Advantages
• Competitive annual salary ranging from $60,000 to $85,000 based on experience.
• Comprehensive benefits package including medical and dental coverage starting after three months.
• Access to a Healthcare Spend Account (HSA) and General Spend Account.
• Paid time off including 3 weeks of vacation and 12 sick days annually.
• Hybrid work model with the flexibility to coordinate your schedule with a collaborative team.
• Work in a prestigious downtown Toronto office that is TTC accessible.
• Opportunity to work with a highly respected, easygoing, and collaborative lead lawyer.
• Professional development within a firm that values long-term stability and employee well-being.

Responsibilities
• Manage a high-volume executive inbox, prioritizing urgent correspondence and flagging critical litigation deadlines.
• Provide comprehensive executive support, including complex calendar management and travel coordination for senior lawyers.
• Draft, proofread, and edit legal documents and correspondence with a high degree of accuracy and attention to detail.
• Oversee the full lifecycle of litigation files, ensuring all documents are correctly filed within the IManage system.
• Act as a project coordinator for long-term legal projects, ensuring milestones are met and stakeholders are kept informed.
• Coordinate daily schedules and prepare briefing materials for meetings, hearings, and client consultations.
• Foster strong professional relationships with clients, opposing counsel, and internal teams to ensure smooth communication.
• Maintain organized digital and physical filing systems, adhering to strict confidentiality and data management protocols.
• Assist with the preparation of court filings and specialized litigation documentation as required.
• Support the broader business administration team during peak periods or team-building initiatives.

Skills
• Advanced proficiency in the Microsoft Office Suite, specifically Word, Excel, and Outlook.
• Expertise in IManage or similar legal document management software.
• Exceptional proofreading, editing, and copywriting skills with a focus on technical legal accuracy.
• Strong project management capabilities, with the ability to track multiple moving parts across long-term files.
• Outstanding interpersonal skills and the ability to build trust quickly with senior stakeholders.
• Proactive "mind-reading" approach to administrative support and executive assistance.
• Ability to remain calm and effective under pressure in a high-volume ** business administration** environment.
• Knowledge of indigenous studies or reconciliation awareness is considered a significant asset.

Qualifications
• Minimum of 3–5 years of experience as a Legal Assistant or Executive Assistant within a law firm.
• Previous experience in litigation is highly preferred to support the 20% litigation component of the role.
• Proven track record of longevity and stability in previous professional roles.
• Demonstrated experience managing high-volume workloads and complex administrative tasks.
• Post-secondary education in Legal Office Administration, business administration, or a related field.
• Ability to work in-office as required per the team's rotating schedule.
