Description:

ILSC Education Group is seeking an experienced, qualified, and dynamic leader to take overall responsibility for the successful delivery of our Junior and Family Camp programs at ILSC Vancouver.

Our Camp programs combine academics, accommodation, and activities for our young students aged to , enrolled in our Junior Camp and parents and their children aged -, registered in our Family Camp. The Junior and Family Camp Activity Manager is responsible for coordinating and collaborating with these separate departments to ensure our students and their families receive a well organized and enjoyable summer program experience.

In addition to these responsibilities, the Junior and Family Camp Activity Manager is expected to create a structured, caring, and supportive environment for our young students and families enrolled in our Junior Camp and Family Camp, through monitoring their attendance, performance, well-being, and general success within
the program. This role requires leadership skills, strong organizational skills, exceptional interpersonal and communication skills, a willingness to take initiative and an ability to problem-solve.

This is a key management role and a full-time, fixed-term position. Due to the nature of the work, your hours may vary and may be irregular.

  • Full time hours on-site at ILSC Vancouver will begin on June , , until August ,
    Pre-program staff training at ILSC Vancouver will take place from June , , to June ,
  • Your weekly work schedule will consist of six consecutive days of work, followed by one full day off per week

Job Duties:

The duties of this position include, but are not limited to:

Administration

  • Ensure that all ILSC Juniors Program rules, procedures and directives are understood and adhered to by both students and staff
  • Maintain accurate financial accounting records for the program, monitoring expenditures to ensure expenses are within budget, ensuring student-teacher ratios are respected (:), tracking leisure costs, managing petty
    cash, and itemizing expenditures at the end of the program
  • Liaise with ILSC Vancouver campus staff for use of facilities, following approval from the National Director, Juniors & Corporate.

Planning, Program Inventory and Set Up

In collaboration with the National Director, Juniors & Corporate and Centre Director, Residential Juniors Program at UBC

  • Participate in the interviewing and hiring of the activity leaders for the ILSC Vancouver Summer Juniors Program
  • Oversee the activity bookings, program budget, and assist in the planning and payment of activity deposits
  • Plan the training program for the Junior Camp Activity Leaders
  • Create the staffing schedule for the activity leaders
  • Unpack all program materials and resources and identify and report any missing or damaged materials
  • Ensure that the ILSC Vancouver campus classrooms and facilities rooms designated for the Junior Camp students, are set up and prepared for the staff and students’ arrival, including signage and staff rosters
  • Evaluate camp inventory supplies to determine purchasing needs for summer program

Staff

  • Plan and lead the pre-program staff orientation, ensuring that all team members have a clear understanding of the Junior Camp summer program, their roles, and responsibilities, and that all staffing schedules have been clearly outlined and shared with staff
  • Conduct daily staff meetings; carry out mid-summer and end of summer performance evaluations, reporting any concerns or issues to the National Director, Juniors & Corporate.
  • Monitor staff working hours and days off and create and distribute staffing schedules
  • Distribute and collect program feedback questionnaires from all staff members and conduct staff evaluations
  • Schedule weekly meetings with Group Leaders (chaperones accompanying a group of students employed by travel agency)
  • Create a weekly airport meet and greet schedule and assign staff to meet each group of students at the airport upon their arrival (typically on Sundays but may occur on other days)
  • Take overall responsibility for staff disciplinary matters in consultation with the National Director, Juniors & Corporate, Canada.

Students

  • Lead the Junior Camp student orientation on the students’ first day (typically on Monday morning), introducing the staff and explaining the academic, social and welfare responsibilities of each Juniors program staff member
  • Lead the Family Camp student orientation on the family's first day (typically on Monday before they begin classes at : PM)
  • Ensure students understand school rules, disciplinary procedures, and off-limit areas
  • Manage student and staff welfare and any disciplinary issues during the program including student illness and employment issues
  • Take overall responsibility for student disciplinary matters in consultation with the National Director, Juniors & Corporate, Canada.

Activities Program

  • Take overall responsibility for the planning, organization, and delivery of the Activities Program, including on-campus and off-campus activities
  • Ensure activities are engaging, inclusive, age-appropriate, and aligned with program objectives
  • Assign staff to activities and excursions, ensuring appropriate supervision and staff-to-student ratios
  • Lead daily staff briefings to review upcoming activities and ensure smooth execution
  • Promote student engagement and participation in all programmed activities
  • Monitor the quality of activities and adapt the program as needed in consultation with the Centre Director
  • Ensure all activities are conducted in accordance with health and safety standards

Other

  • Manage the program’s daily schedule, monitoring the performance of the Junior Camp program staff as well as the satisfaction levels of the students (through First Impressions Reports, End-of Program Questionnaires, and first-hand evaluations)
  • Managing the Junior Camp emergency phone throughout the Junior Camp program ensuring effective and efficient communications with agents and parents (except for days off when you will assign the emergency phone responsibility to the Activity Coordinator who would act as your replacement in your absence)
  • Lead weekly meetings with the Activity Coordinator
  • Participate in weekly meetings with the Director of Juniors Programs reporting on the week’s events and advise of any staff, student, or program issues
  • Welcome visitors to the program as required (, third party agents, colleagues from ILSC, language agencies, accrediting inspectors etc.)

Essential Qualifications, Skills, and Attributes:

  • Experience working with teenagers in a camp or residential environment
  • Experience managing a team of + staff members
  • Background in sports, art, drama, or dance, or social media
  • Enthusiasm, energy, and motivational skills
  • Strong organizational and logistical planning skills
  • Experience managing events, programs, or excursions
  • Ability to manage budgets and coordinate with external vendors

Required:

  • Must be legally eligible to work in Canada without any restriction to work in childcare, primary/secondary school teaching, or health service field occupations.

Desirable

  • CPR / First Aid / Lifeguard certification
  • Bilingualism: English
