Job description

Weins Auto Group is looking for a Office Manager at Whitby Subaru. This position is an exceptional opportunity to lead front office coverage and provide day-to-day support across departments by keeping daily dealership operations running smoothly in partnership with the General Manager!

Core Responsibilities:

1. General Operations:

  • Coordinate reception coverage and support/coach front office admin staff.
  • Resolve escalated customer concerns with department leaders.
  • Manage mail, office supplies, and general office organization.

2. Service and Parts Support

  • Support fixed ops paperwork (ROs, POs, sublet invoices, accruals, credits)
  • Help ensure vendor payments are accurate and on time

3. Sales & Business Office Support

  • Review sales and funding paperwork for completeness and accuracy
  • Support periodic vehicle inventory counts

4. Accounting & HR

  • Follow up on accounts receivable and overdue payments.
  • Support hiring/onboarding and maintain required HR and health & safety documentation.

Qualifications:

  • Attention to detail and well-organized
  • Ability to work under pressure
  • Customer-centric
  • Previous experience in coaching is considered an asset
