Marketing Coordinator
The Marketing Coordinator plays a key role in supporting the day‑to‑day operations of the Marketing Department. This position is responsible for tracking budgets, managing cooperative (co‑op) marketing claims, coordinating fleet logistics, and supporting communication and presentation materials. The ideal candidate is detail‑oriented, organized, and thrives in a fast‑paced, collaborative environment.
Possible Tasks within this Role
Budget Tracking & Administration
- Track and reconcile marketing budgets, including processing of estimates, invoices, and purchase orders (POs).
- Maintain accurate records of marketing expenses and ensure alignment with corporate financial processes.
- Support budget forecasting and provide regular updates to the marketing leadership team.
- Track all agency estimates and request and track Purchase Orders.
- Work with agency finance team to ensure BCRs are accurate and up to date.
- Work with accounts payable and receivables to support agencies and vendors through the process.
- Work with legal and procurement on coordination of vendor contracts.
- Lead monthly budget review meetings with the marketing team.
- Responsible for ensuring the budget is up to date, avoiding under/over‑spending.
- Other tasks as required.
Dealer Co‑op Program Management
- Oversee the claims and payout process for the dealer co‑op marketing program.
- Review submissions for accuracy, ensure compliance with program guidelines, and coordinate approvals.
- Maintain reporting and communication with participating dealers regarding claim status and program updates.
Dealer Communications
- Manage the development and distribution of marketing updates to the dealer network via the ‘Audi Now’ portal, highlighting national campaigns, product launches, and best practices.
Fleet Coordination
- Order new fleet vehicles and manage logistics for their use at marketing events, media activities, and test‑drive programs.
- Ensure vehicles are transported, prepared, and returned in a timely and professional manner.
- Liaise with internal stakeholders and external logistics partners as needed.
Presentation & Project Support
- Assist in the creation of PowerPoint presentations for internal meetings, executive reviews, and dealer WebEx sessions.
Qualification Requirements
- Bachelor’s Degree in Accounting, Marketing and/or Business and/or equivalent work experience.
- Minimum of 2 years experience in marketing coordination, preferably within the automotive or luxury sector.
- Strong organizational and administrative skills with keen attention to detail.
- Proficiency in Microsoft Office (especially Excel and PowerPoint).
- Experience managing budgets and vendor invoicing processes is an asset.
- Excellent written and verbal communication skills.
- Ability to work effectively in a team environment and manage multiple priorities simultaneously.
- Detail‑oriented with strong follow‑through.
- Proactive and adaptable to changing priorities.
- Strong sense of accountability and professionalism.
- Bilanguageism (French/English) is considered a strong asset.
- Ability to travel up to 15% within Canada.
