About the Role
We are looking for a relentless, high achieving Junior Chief of Staff to serve as the right hand to our CEO. This role is designed for a "go-getter" who is passionate about learning the inner workings of a high-growth startup engine. This role is for the person who has always been the one to step up. Whether you were the president of three clubs in high school, a team captain, or the person everyone turns to when a project is falling apart—you have a lifelong track record of high achievement.
This isn't a role for someone who just checks boxes. We need someone with street smarts, not just book smarts—someone who can navigate ambiguity, anticipate roadblocks, and push projects over the line before they even become a problem. You will be the air traffic controller for the CEO’s world, a storyteller through the data, and a key driver of our operational velocity.
Key Responsibilities
- Take full ownership of projects assigned to you. You don’t just track them; you drive them to completion by holding stakeholders accountable and removing friction.
- Draft important emails, conduct research for critical decision-making, and compile executive reports.
- You can take a rough concept and turn data into a board-ready presentation with minimal back-and-forth.
- Manage inboxes, screen calls, and act as a liaison between the CEO and internal/external stakeholders.
- Support leadership meetings including preparing materials, taking precise minutes, and managing follow-up documentation.
- Arrange comprehensive travel itineraries (flights, accommodation, transport) and lead the planning for company off-sites and team meetings.
- Maintain records, manage databases, submit expense reports.
- Handle the "random" tasks that keep a high-growth startup running, from office logistics to team member requests.
Requirements
- 4+ years in executive support, operations, project coordination, or consulting. You thrive in environments where organization and good judgment are essential.
- You have a "figure it out" mentality. You can read a room, handle a difficult vendor, and pivot instantly when priorities shift.
- You already use AI and modern tools daily to improve your speed and output. You can provide concrete examples of how you've used tech to optimize your work.
- You can build something clear and visually clean without a lot of hand-holding.
- You quickly absorb information and turn it into concise, well-organized materials ready for a senior audience.
- You don't wait for direction. If something needs to happen, you make it happen.
- You stay steady and mature in high-stakes, fast-paced environments. You create stability rather than adding to the noise.
- You have a natural inclination to notice where things could work better and the initiative to improve them through smarter tools or processes.
- You possess the judgment and maturity to handle sensitive information with total integrity.

Compensation & Environment
- Target Salary Range: $50,000 – $70,000 CAD (commensurate with experience).
- Potential for bonus based on performance
- Environment: Based in our Vancouver office (4 days per week) with 1 day per week work-from-home after probation period.
