Job description

Tasks

  • Ensure the daily management of communications for the estimation department, including monitoring emails and incoming requests.
  • Open, organize, and structure tender files from receipt through to final submission.
  • Coordinate schedules related to site visits, closing dates, and key stages of bid submissions.
  • Prepare, assemble, and distribute all required documentation (plans, forms, addenda, bid packages).
  • Coordinate communications with subcontractors, including sending invitations, follow ups, and receiving intentions to bid and submitted prices.
  • Manage and update the estimation system, including exchanges and responses intended for subcontractors.
  • Compile bid results, ensure document compliance (bid bonds, insurance, certificates), and forward information to the relevant partners.
  • Perform any other duties related to the position.

Job requirements

  • DEP in Secretarial Studies or a DEC/AEC in Office Administration, or any other relevant training.
  • Minimum of five (5) years of experience in a similar role.
  • Strong proficiency with the Microsoft Office suite.
  • Understanding of the main stages and realities of the construction estimation process.
  • Comfort with digital document management tools and bidding platforms.
  • Excellent command of French, both spoken and written.
  • Strong organizational skills.
  • High attention to detail and ability to maintain high quality standards in task execution.
