The Compensation Range is the span between the minimum and maximum base salary for a position. In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

JOB SUMMARY

Manages and administers the workflow, communication and organizational activities of academic programs and college operations as needed.


ORGANIZATIONAL STATUS

Reports to the Operations Manager and receives direction from the College Principal on academic programs and initiatives. Works collaboratively with and represents the College to various community, UBC, SJC student and alumni stakeholder groups.

WORK PERFORMED

  • Provides overall leadership for academic special projects, programs, initiatives and collaborative projects involving diverse stakeholders.

  • Manages the human, financial and facility resources for academic programming.

  • Provides oversight to all phases of academic projects and programs; from design and planning through budgeting and execution; including preparation of detailed plans, defining scope, scheduling, resources, and ensuring programs are delivered successfully, on time, and within budget, while achieving defined objectives and institutional priorities.

  • Develop and implement academic program policies, procedures and systems.

  • Identify strategic programming opportunities and project planning in collaboration with the SJC Administration team. Pilots academic projects, implements, create metrics of success, evaluates and reports on new initiatives.

  • Provides leadership and collaborates with residents and resident committee heads, and members of the SJC community in the development of programming that supports the missions of the College: and .

  • Provides work direction to Work Learn students and the SJC Residence Community Coordinator that may include scheduling, assignment of work and review of project efforts of academic initiatives and projects at St. John’s College.

  • Develops and writes content to promote SJC academic programming, contributing to informational and promotional materials for distribution across multiple communication channels.

  • Manages non-academic programming as needed: Hot Lunch and other staff and faculty initiatives.

  • In consultation with SJC Administration, develops a content strategy for newsletter and the College’s annual fundraising campaign that is in collaboration with UBC Development and Engagement.

  • Develops program vision board and planning frameworks in discussion with the SJC team to ensure staff understand how their roles contribute to the College’s academic programming and overall strategic direction.

  • Performs other duties as required for college operations and academic initiatives.


SUPERVISION RECEIVED

Works independently under general managerial direction. Work is reviewed in terms of effectiveness within established policies and guidelines.


SUPERVISION EXERCISED

Manages student staff and is responsible for performance evaluation and supporting their professional development.

CONSEQUENCE OF ERROR

This position works under general managerial direction and the work is reviewed in terms of effectiveness and achievement of objectives. Works collaboratively with St. John's College leadership as well as staff and stakeholders both within the University as well as in the external community. Failure to plan or follow up on initiatives and poor judgment or errors dealing with such matters would have an adverse effect on the St. John's College and the University of British Columbia. Inability to work in a collaborative and facilitative way will impact adversely on setting and completion of strategic goals. Ability to exercise sound judgment in dealing with administrative matters where there are no established policies, procedures or guidelines is essential. The incumbent is expected to display personal initiative and must exercise sound judgement in all administrative areas, have tact and diplomacy, be accurate and maintain confidentiality. The incumbent must be able to act independently in performing defined duties. The potential for negative impact on St. John's College is significant.

MINIMUM QUALIFICATIONS

  • Undergraduate degree in relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

  • Willingness to respect diverse perspectives, including perspectives in conflict with one’s own

  • Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.

PREFERRED QUALIFICATIONS

  • Excellent interpersonal, relationship building and conflict resolution skills.

  • Strong oral and written communication skills with strong attention to detail.

  • Organizational and planning skills.

  • Familiarity with MailChimp or other newsletter platforms is an asset.

  • Familiarity with writing newsletter and website content is an asset.

  • Comfortable with and able to monitor Social Media channels the College uses: YouTube and Instagram.

  • Understands and models the principles of an inclusive and respectful work environment.

  • Ability to work independently and in a team environment. Ability to organize workload, set priorities and work within deadlines and time pressures.

  • Develops program vision board and planning frameworks in discussion with the SJC team to ensure staff understand how their roles contribute to the College’s academic programming and overall strategic direction.
