Hours: Monday–Friday, 08:30–17:00 (37.5 hours/week)

Position Summary

At Bentley, we believe that an exceptional workplace is the foundation of our success. We are looking for a passionate and proactive Workplace Culture & Engagement Specialist to be the central point of contact and the cultural heart of our Quebec office.

This is a newly created role designed for someone who is excited to take ownership of our workplace environment and being a key person to help shape our culture. You will be empowered to create a vibrant, inclusive, and seamless office experience that reflects Bentley's values and makes our Quebec hub a fantastic place to work.

You will be the first point of contact for all visitors, including global colleagues and executives, while overseeing the day‑to‑day running of our Quebec office. You will champion culture initiatives, support global programs like Sustainability, IDEA, Bentley Giving, and Achievers, and help design engaging in-office experiences.

Responsibilities

Front of House & Workplace Excellence:

  • Act as the primary point of contact for the Quebec office, embodying Bentley's brand, and values as the first impression for all colleagues and external visitors.
  • Oversee daily office operations, from managing correspondence and supplies to coordinating meeting rooms and hospitality, ensuring our facilities are always welcoming and professional.
  • Take ownership of the workplace environment, proactively identifying opportunities to improve our space and processes to create a seamless and positive experience for everyone.
  • Provide support services to all regularly visiting Bentley Executives, including meal reservations, transportation coordination, and other support as required.
  • Create and process purchase requests and invoices.

Culture & Community Champion:

  • Serve as a cultural ambassador, bringing our company values to life through creative and engaging in-office events and activities
  • Champion and localize our global culture programs, including initiatives for Sustainability, IDEA (Inclusion, Diversity, Equity & Allyship), Bentley Giving, and our Achievers recognition platform
  • Foster a strong sense of community and belonging, ensuring every colleague feels connected, seen, and celebrated

Onboarding & Swag Management:

  • Organize welcome packs and oversee first-day coordination for new employees, while also administering inventory and distribution of branded merchandise to staff and coordinating for events

Qualifications

  • Minimum 3 years’ experience in a similar role such as founders assistant, concierge, reception, facilities, or office management
  • Strong organizational and multitasking capabilities
  • A high degree of professionalism, discretion, and an engaging presence, with a passion for exceptional service
  • Excellent written and verbal communication skills, with the ability to engage at all levels of the business up to C-suite
  • Proficiency in Microsoft Office 365 Suite
  • High attention to detail and a proactive, solution-oriented mindset
  • Positive, adaptable, and collaborative team player with a “can‑do” approach

Chez Bentley, nous croyons qu’un lieu de travail exceptionnel est la base de notre réussite. Nous recherchons un(e) Spécialiste de la Culture d’Entreprise et de l’Engagement, passionné(e) et proactif(ve), qui deviendra le point de contact central et le cœur culturel de notre bureau de Québec.

Il s’agit d’un nouveau rôle conçu pour quelqu’un souhaitant prendre en main notre environnement de travail et jouer un rôle clé dans l’évolution de notre culture. Vous serez encouragé(e) à créer une expérience de bureau dynamique, inclusive et harmonieuse, reflétant les valeurs de Bentley et faisant de notre hub de Québec un lieu de travail exceptionnel.

Vous serez le premier point de contact pour tous les visiteurs, y compris les collègues internationaux et les dirigeants, tout en supervisant les opérations quotidiennes du bureau. Vous serez un(e) ambassadeur(rice) de notre culture, soutiendrez nos programmes globaux (Durabilité, IDEA, Bentley Giving et Achievers) et contribuerez à créer des expériences engageantes au bureau.


Responsabilités

Accueil & Excellence Opérationnelle :

  • Agir comme principal point de contact au bureau de Québec, incarnant la marque et les valeurs de Bentley pour tous les collègues et visiteurs externes.
  • Superviser les opérations quotidiennes : gestion de la correspondance, des fournitures, réservation des salles de réunion, hospitalité et maintien d’un environnement accueillant et professionnel.
  • Prendre en charge l’environnement de travail, en identifiant de manière proactive les possibilités d’amélioration afin d’assurer une expérience fluide et positive pour tous.
  • Offrir un soutien aux dirigeants de Bentley en visite régulière : réservations de repas, coordination des transports et autres besoins logistiques.
  • Créer et traiter les demandes d’achat et les factures.

Culture & Communauté :

  • Agir comme ambassadeur(rice) culturel(le), en donnant vie à nos valeurs à travers des activités et événements créatifs au bureau.
  • Promouvoir et adapter nos programmes culturels globaux, incluant : Durabilité, IDEA (Inclusion, Diversité, Équité & Alliés), Bentley Giving et la plateforme de reconnaissance Achievers.
  • Favoriser un fort sentiment de communauté et d’appartenance, en veillant à ce que chaque collègue se sente connecté, reconnu et valorisé.

Intégration & Gestion du Swag :

  • Organiser les trousses d’accueil et coordonner la première journée des nouveaux employés.
  • Gérer l’inventaire, la distribution et la coordination du matériel promotionnel (swag) pour les employés et les événements.

Qualifications

  • Minimum de 3 ans d’expérience dans un rôle similaire : assistant(e) de fondateur, concierge, réception, services généraux, ou gestion de bureau.
  • Excellentes compétences organisationnelles et capacité à gérer plusieurs tâches simultanément.
  • Grand professionnalisme, discrétion et sens du service, avec une présence chaleureuse.
  • Excellentes compétences de communication écrite et orale, avec capacité à interagir à tous les niveaux jusqu’aux cadres dirigeants.
  • Maîtrise de la suite Microsoft Office 365.
  • Sens du détail et attitude proactive, orientée solutions.
  • Personnalité positive, adaptable et esprit d’équipe avec une approche « je peux le faire ».
