Clinic Operations Manager to lead our operational and administrative functions.
Position Overview
The Clinic Operations Manager is responsible for overseeing day-to-day clinic operations, managing a multidisciplinary team, and ensuring that clinical, administrative, and technical processes run smoothly. This position plays a central role in staffing, patient flow, compliance, equipment management, technology adoption, and financial coordination.
Experience in gastroenterology or endoscopic services is considered an asset, but not a requirement. Strong leadership and healthcare operations experience are essential.
Key Responsibilities
Leadership & Human Resources- Recruit, onboard, schedule, and supervise nursing, administrative, and environmental services staff.
- Provide coaching, development, performance reviews, and ongoing team support.
- Maintain staffing coverage to support safe and efficient daily clinic operations.
- Promote a professional, collaborative, and patient-focused team culture.
Operational Management
- Oversee daily clinic workflow, ensuring efficient patient flow and timely coordination of endoscopy and clinic appointments.
- Ensure clinic operations align with safety, infection prevention, and regulatory standards.
- Develop, implement, and maintain clinic policies, procedures, and standard operating protocols.
- Identify and resolve operational challenges through continuous improvement initiatives.
Equipment, Inventory & Facilities- Ensure all medical equipment, devices, and scopes are maintained, serviced, and compliant with regulatory and manufacturer standards.
- Monitor consumables, supplies, medications, and operational inventory to ensure adequate stock at all times.
- Manage procurement and ordering processes to maintain up-to-date, safe, and cost-effective supplies.
Billing & Financial Coordination- Oversee billing processes, including OHIP submissions, insurance claims, and private billing.
- Ensure all procedural data is accurate, timely, and compliant with Ministry of Health requirements.
- Coordinate with accounting and external partners to support financial reporting and clinic budgeting.
Technology, EMR & Digital Workflow- Manage appointment scheduling, patient records, and workflow optimization through clinic EMR systems.
- Support integration and troubleshooting of digital tools, scheduling platforms, and operational software.
- Leverage advanced technologies to enhance patient experience, improve workflow efficiency, and support data-driven clinic management.
Qualifications- Minimum 3 years of experience in healthcare operations, clinic management, or similar leadership roles.
- Experience supervising clinical or administrative teams in a healthcare or dental setting.
- Familiarity with gastroenterology or endoscopic services is an asset.
- Strong understanding of EMR systems, digital scheduling tools, and healthcare technology.
- Knowledge of OHIP billing, Ministry of Health data requirements, and clinic financial processes.
- Excellent organizational, communication, and problem-solving skills.
