Your Role
This is a permanent part-time position scheduled at approximately 20 hours per week, ideal for an experienced administrative or legal professional seeking a flexible work arrangement.
The role supports the company’s legal operations by managing intellectual property administration, coordinating commercial agreement processes, and maintaining accurate legal records across the organization.
Your Responsibilities Include:
- Manage and monitor intellectual property (patent, trademark, industrial design) deadlines and filings
- Prepare and file intellectual property forms and related prosecution documentation
- Prepare draft patent filing and office action response documents for review
- Support administration of the company’s intellectual property portfolio and liaise with external counsel
- Assist with preparation, execution, and lifecycle management of commercial agreements, including distribution agreements
- Coordinate document execution and ensure proper storage across internal systems
- Collaborate cross-functionally with Legal, Finance, Sales, Marketing, and external advisors
- Provide reporting and operational support to the in-house legal function
Your Experience So Far:
- High attention to detail and accuracy in document preparation and recordkeeping
- 2+ years of experience in administrative, legal assistant, or operations support roles
- Strong organizational skills with the ability to manage multiple deadlines and priorities
- Certification(s), license(s), or professional designation(s) relevant to this role are considered an asset, or an equivalent combination of education, training, and work experience
- Strong written and verbal communication skills
- Eperience coordinating document execution using electronic signature tools
- Proficiency in Microsoft Office (Word, Excel, Outlook) and shared document management platforms
- Familiarity with online tools such as DocuSign, Confluence, and document tracking systems is a plus
- Ability to collaborate effectively across departments including Legal, Finance, Sales, Marketing, and external advisors
Location and Compensation:
This is a permanent part time position scheduled at approximately 20 hours per week. The role follows a hybrid work model, therefore candidates must be located within a commutable distance of our Vancouver, BC office.
The hourly rate for this position is $28 per hour, commensurate with experience.
