About the Company Forge Recruitment is currently partnering with a highly respected, full-service downtown Toronto law firm on a confidential search for a Litigation Legal Assistant to join its Municipal and Planning Law group. About the Role The Litigation Legal Assistant will provide comprehensive administrative and litigation support across a broad range of municipal and planning matters. The position requires strong organizational skills, sound litigation knowledge, and the ability to manage competing priorities in a deadline-driven practice.
Key Responsibilities include:
• Draft and prepare litigation documents including pleadings, notices of motion, notices of application, affidavits, facta, correspondence, and presentations, ensuring accuracy and proper formatting
• Assist lawyers with trial and hearing preparation, including compiling records, briefs, and supporting materials
• Coordinate service and filing of court and tribunal documents, including liaising with process servers and filing agents
• Manage calendars, court dates, deadlines, and conditional timelines to ensure compliance with procedural requirements
• Open and close electronic files and maintain organized digital records within a document management system
• Maintain detailed client and matter lists and ensure electronic filing systems remain current
• Run monthly billing accounts, review entries for accuracy, and enter dockets into accounting software as required
• Manage internal and external communications including phone calls, correspondence, and client inquiries
• Maintain and update client contact information within the firm's CRM system and support marketing and business development initiatives when required
• Coordinate meetings, book travel, arrange appointments, and assist with general administrative functions
• Establish and reassess work priorities to meet evolving deadlines
• Collaborate with colleagues and provide coverage support when required
• Perform additional administrative duties as assigned

What You Bring • 3+ years of litigation legal assistant experience within a law firm environment
• Experience supporting municipal or planning law matters considered an asset
• Legal Assistant Diploma and or Law Clerk certification preferred
• Strong understanding of litigation procedures, legal terminology, and applicable statutes
• Working knowledge of the Rules of Civil Procedure and litigation processes
• Familiarity with Ontario courts and tribunal filing processes, including CaseLines and the Ontario Land Tribunal, is an asset
• Proficiency with Microsoft Office 365 and legal technology platforms
• Experience with document management, PDF software, and litigation document preparation tools
• Exceptional organizational and time management skills with the ability to manage multiple deadlines
• Strong attention to detail and proofreading ability
• Excellent interpersonal and communication skills with a collaborative mindset
• Demonstrated professionalism and discretion when handling confidential information
• A proactive approach and willingness to learn new systems and processes
