Job description

The Subcontracts Coordinator is responsible for sourcing, evaluating, negotiating, awarding, and administering construction trade contracts for multi-family residential projects throughout Western and Central Canada.

Working closely with site staff, Project Coordinators, Construction, Design, Quality Control, Estimating, Purchasing, and other project stakeholders, this role ensures qualified trades are engaged with clear scope, cost, schedule, and performance expectations.

The successful candidate will combine strong construction knowledge, commercial judgment, negotiation skills, and relationship management to support competitive procurement, contract compliance, cost control, schedule performance, and successful project delivery.

Your contributions to the team: Source, recruit, and qualify new and existing subcontractors in current and emerging project regions using industry networks, referrals, online research, direct outreach, supplier relationships, and site visits.

Manage the tendering process for assigned trade scopes, including reviewing project plans, Site Instructions and scope requirements; establishing tender lists; issuing complete tender packages; and confirming schedule, manpower, duration, and project requirements with bidders.

Review and analyze subcontractor bids against project budgets, historical pricing, scope requirements, inclusions, exclusions, assumptions, unit rates, schedule commitments, and overall project risk.

Negotiate competitive pricing, contract terms, payment terms, scope clarifications, manpower commitments, durations, material lead times, and other commercial requirements to maximize SPD's financial and operational performance.

Prepare clear bid analyses and contract award recommendations, complete required due diligence, and coordinate the contract award process in accordance with SPD authorization requirements.

Define and communicate complete scopes of work, inclusions/exclusions, clarifications, payment schedules, phase codes, schedule expectations, and contract requirements before subcontractors mobilize to site.

Coordinate with Project Coordinators and site teams to ensure subcontractor start dates, durations, manpower, sequencing, and milestone commitments align with the project schedule.

Administer assigned subcontract agreements throughout the project lifecycle, ensuring contract changes are captured through timely and accurate Change Orders and supporting documentation.

Evaluate subcontractor pricing for changes and extras, validate scope entitlement, negotiate cost and schedule impacts, and prepare Change Order approval packages within established timelines.

Support subcontractor performance management by reviewing contract requirements, schedules and site records; communicating performance concerns; obtaining corrective commitments or recovery plans; and assisting with formal contractual escalation when required.

Work collaboratively with Site Superintendents, Construction Managers, Project Coordinators, Quality Control, Safety, Design, Estimating, Purchasing, Accounts Payable, and other stakeholders to resolve subcontractor issues and maintain project momentum.

Maintain accurate subcontractor, tender, bid analysis, award, contract, Change Order, WCB/WSIB, insurance, reference, and related records in SPD systems.

Build and maintain professional, productive relationships with subcontractors and industry partners while balancing collaboration with accountability to SPD's safety, quality, cost, schedule, and contractual expectations.

Attend required project meetings and provide timely input on tendering, contract awards, subcontractor availability, commercial risks, and trade performance.

Support the preparation of Construction Execution Plans by identifying realistic tender and award timelines for assigned trade scopes.

Perform other Subcontracts coordination duties as required to support project and departmental objectives.

What you need to be successful: Post-secondary education in construction management, business, engineering technology, a skilled trade, or an equivalent combination of education and relevant experience.

Experience in construction procurement, subcontract administration, estimating, project coordination, or a related construction role; multi-family residential and wood-frame construction experience is an asset.

Working knowledge of construction drawings, scopes of work, tendering, bid analysis, subcontract agreements, payment schedules, Change Orders, and project schedules.

Demonstrated ability to analyze pricing, identify scope gaps and commercial risks, compare bids to budgets and historical costs, and negotiate effectively with subcontractors.

Strong written and verbal communication skills with the confidence to clearly communicate expectations, resolve issues, and hold subcontractors accountable to contractual commitments.

Strong interpersonal and relationship-building skills with a collaborative approach to working across site, project, design, estimating, purchasing, and subcontractor teams.

High attention to detail with strong critical thinking, problem-solving, analytical, and organizational skills.

Ability to manage multiple trade scopes, competing priorities, deadlines, and project requirements in a fast-paced construction environment.

Proactive and decisive, with the ability to follow issues through to resolution and escalate appropriately when performance, cost, quality, or schedule is at risk.

Proficiency with Microsoft Office; experience with construction management, estimating, tendering, or ERP software is an asset.

You will be eligible to receive salary starting from $56,800 to $71,000 per annum, this will be determined by your skill set, education and experience.
