THE ROLE:
Reporting to the Property Manager the Property Administrator will be responsible for providing various services to effectively operate and maintain a portfolio of retail properties. Those services will include accounts receivable reporting accounts payable processing budgeting supplier invoicing rent roll review and tenant this role you will very much be an integral part of the team and support the delivery of best in class property operations to enhance our assets and tenants relationships.
WHAT YOU WILL DO:
  • Provide critical administrative support to the property management team.
  • Conduct review of the monthly rent-roll and pre-authorized debit report.
  • Perform accounts receivable reporting including bank deposits form filling and inputting accounts receivable commentary.
  • Prepare and process purchase orders and accounts payable invoices.
  • Send collect and process various tenant chargebacks.
  • Oversee the payment of utilities track billing and assist with collection of data for tenant charge backs and environmental social and governance (ESG) reporting.
  • Prepare manual tenant statements of accounts and manage account reconciliations.
  • Issue demand default or termination notices to tenants.
  • Review and prepare tenant notification letters.
  • Prepare and issue tenant refunds.
  • Assist with monthly and annual budgets.
  • Monitor track and collect tenant insurance and tenant sales reports.
  • Prepare check listsfor tenants move-in and move-outs and ensure all documentationare completed.
  • Liaise with the Operations team to dispatch maintenance and security at tenants request and to facilitate smooth day-to-day site activities.
  • Liaise with property accountants lease administrators and legal to ensure the accuracy of tenants information
  • Participate in special projects and take on other duties as assigned.
WHAT YOU BRING:
  • One (1) to three (3) years of administration experience ideally within residential commercial or retail property management.
  • Solid understanding of basic accounting principles.
  • Post-secondary education preferably in business accounting or related field as an asset.

  • Excellent communication skills to effectively communicate with tenants suppliers internal teams and other stakeholders.
  • Strong attention to detail and time management skills to coordinate multiple competing priorities and deadlines.
  • You have solid computer skills coupled with sound knowledge of Microsoft Office (Excel PowerPoint Word and Outlook). Experience working with JDE and Building Engines would be an asset.

    RÔLE:
    Il incombe à ladministrateur(-trice) immobilier(-ière) de fournir divers services afin de gérer efficacement un portefeuille immobilier composé dimmeubles de détail et à usage mixte. Ces services comprennent des tâches liées aux comptes clients et fournisseurs comme létablissement de budgets le traitement des factures des fournisseurs lexamen du registre des loyers et les communications avec les locataires. Ladministrateur(-trice) immobilier(-ière) fait partie intégrante de léquipe et contribue à la mise en œuvre dopérations immobilières de premier plan dans le but daméliorer nos actifs et nos relations avec les locataires.
    TÂCHES:
    • Fournir un soutien administratif essentiel à léquipe de gestion des immeubles.
    • Examiner le registre mensuel des loyers et le rapport des prélèvements automatiques.
    • Effectuer des tâches liées aux comptes clients notamment les dépôts bancaires et la saisie de commentaires relatifs aux comptes clients.
    • Préparer les rapprochements de comptes locataires y compris les relevés manuels des comptes locataires.
    • Préparer et émettre des avis de paiement de paiement en souffrance ou de résiliation à lintention des locataires et soccuper de la comptabilité afférente.
    • Examiner préparer traiter et recueillir les documents destinés aux locataires ou reçus de ceux-ci relatifs aux éléments suivants : lettres de notification facturation de fin dannée lettres de facturation révisée rétrofacturation et remboursements.
    • Préparer et traiter les bons de commande et les factures fournisseurs.
    • Contrôler suivre et recueillir les documents dassurance et les rapports de ventes des locataires.
    • Superviser le paiement des comptes de services publics assurer le suivi de la facturation et contribuer à la collecte des données relatives à la rétrofacturation des locataires ainsi quà lélaboration des rapports environnementaux sociaux et de gouvernance (ESG).
    • Coordonner lemménagement et le déménagement des locataires.
    • Collaborer avec léquipe des opérations pour fournir des services dentretien et de sécurité à la demande des locataires et pour faciliter le bon déroulement des activités quotidiennes sur place.
    • Assurer la liaison avec les comptables des propriétés les gestionnaires de baux et le service juridique pour garantir lexactitude des renseignements relatifs aux locataires.
    • Participer à des projets spéciaux et accomplir dautres tâches selon les besoins.
    VOTRE PROFIL:
    • Une (1) à trois (3) années dexpérience en administration idéalement dans le domaine de la gestion de biens immobiliers commerciaux ou de détail.
    • Formation postsecondaire de préférence dans le domaine des affaires de la comptabilité ou dans un domaine connexe.

    • Souci du détail et excellentes compétences en gestion du temps pour coordonner des priorités et des échéances multiples et concurrentes.
    • Esprit déquipe; intérêt à se mobiliser et à prêter main forte au besoin et capacité à cerner les occasions de le faire.
    • Solides compétences en informatique y compris une excellente connaissance de la suite Microsoft Office (Excel PowerPoint Word et Outlook). Expérience de travail avec JDE (constituerait un atout).
