Vous êtes récemment diplômé(e) en administration des affaires ou dans un domaine connexe ? Vous êtes une personne dynamique, dotée d’un excellent relationnel, capable d’assurer l’assistance de direction, le soutien d’équipe, la coordination de bénévoles, des compétences informatiques de base et la gestion de la communication ? Notre client est une association à but non lucratif qui accompagne les personnes et les familles en difficulté. Le/la candidat(e) idéal(e) est organisé(e), proactif(ve) et flexible, possède d’excellentes aptitudes relationnelles et est prêt(e) à s’investir pleinement dans l’équipe.

Principales responsabilités :

• Assistance de direction et gestion multitâches :
o Assister le rabbin dans ses activités quotidiennes, notamment en l’aidant à gérer son rythme de travail soutenu et sa capacité à mener plusieurs tâches de front.

o Prendre des notes lors de ses appels téléphoniques, assurer le suivi des dossiers et lui rappeler proactivement les personnes à contacter par courriel, téléphone ou lors de réunions.

• Rédaction et correction :
o Rédiger des bulletins d’information, des communications par courriel et d’autres documents destinés au public.

o Travailler fréquemment à partir des dictées du rabbin : les corriger et les adapter au ton et au message de l’association. • Rédiger et corriger les demandes de subvention, en élaborant des argumentaires clairs et convaincants, en adéquation avec les objectifs de l'organisation et les priorités des bailleurs de fonds.

• Soutien à l'équipe et entretien des bureaux

• Apporter un soutien actif et enthousiaste aux membres de l'équipe pour les petites tâches, l'organisation des espaces de travail et la gestion des besoins pratiques, comme le remplacement des ampoules.

• Aborder ce rôle avec une attitude positive et proactive (dire « oui » dès que possible).

• Coordination des bénévoles

• Gérer les plannings des bénévoles et être leur interlocuteur privilégié pour toutes les communications les concernant.

• Savoir qui vient et quand, et assurer une couverture lorsque cela est possible.

• Former les nouveaux bénévoles et les accompagner à l'accueil.

• Être capable d'assurer l'accueil et de gérer les responsabilités qui y sont liées avec assurance en cas de besoin.

• Dépannage technique et coordination du support

• En cas de problème technique (téléphone, imprimante, internet, etc.), prendre l'initiative de contacter les fournisseurs de services et de coordonner les solutions.

• Être la personne de référence pour les incidents techniques au bureau. • Organisation administrative

o Maintenir Google Drive organisé et à jour.

o Être capable de trouver rapidement des documents et de s'assurer que les nouveaux fichiers sont enregistrés au bon endroit.

• Création graphique (Canva)
o Créer et mettre à jour des flyers, des lettres, des cartes de visite et autres supports de communication visuelle à l'aide de Canva.

o Garantir une présentation soignée, professionnelle et cohérente sur tous les supports.

• Gestion du site web
o Apporter des modifications et des mises à jour mineures au site web selon les besoins.

o Réorganiser ou ajouter du contenu pour garantir la clarté, l'accessibilité et l'actualité des informations.

Compétences et qualités essentielles

• Excellentes aptitudes à la communication et aux relations interpersonnelles

• Excellentes compétences rédactionnelles et de révision, notamment en matière de style et de clarté

• Sens de l'organisation et capacité à gérer plusieurs tâches simultanément

• Attitude positive, serviable et proactive envers l'équipe

• Maîtrise des outils informatiques et capacité à résoudre les problèmes

• Maîtrise de Google Workspace (Docs, Drive, Agenda, Sheets, etc.)

• Connaissance de Canva et des principes de base du design

• Maîtrise de Wix pour la modification du site web

• Attitude chaleureuse, amicale et professionnelle, en particulier avec les bénévoles et les visiteurs

Salaire : 29 $ à 34 $ de l'heure, horaires flexibles, assurance maladie, pour un poste à temps partiel (20 heures) ou à temps plein (35 heures) par semaine. Du lundi au jeudi de 9 h à 17 h, le vendredi de 9 h à 14 h, avec une pause déjeuner de 30 minutes.

Administrative Assistant
Are you a recent graduate of business admin or related field? Are you a dynamic, people-focused individual that can combine executive assistance, team support, volunteer coordination, light technology, and communications management? Our client is a non-profit organization dedicated to helping individuals and families with certain difficulties. The ideal candidate is organized, proactive and flexible with strong communication skills and a "pitch-in wherever needed" attitude.
Core Responsibilities
• Executive Assistance & Multitasking
o Support the Rabbi in day-to-day operations, especially in managing his fast-paced, multitasking style.
o Take notes during his phone calls, track follow-ups, and proactively remind him of people to email, call, or meet with.
• Writing & Editing
o Draft newsletters, email communications, and other public-facing materials.
o Frequently work from the Rabbi’s dictation - editing and refining to match his tone and message.
o Write and edit grant proposals, crafting clear, persuasive cases that align with organizational goals and funder priorities
• Team Support & Office Maintenance
o Be present and enthusiastic in supporting team members with small tasks, organizing workspaces, and taking care of practical needs like replacing lightbulbs.
o Approach the role with a positive, can-do attitude (say “yes” whenever you can)
• Volunteer Coordination
o Manage volunteer schedules and serve as the point of contact for all volunteer-related communications.
o Know who is coming when, and ensure coverage when possible.
o Train new volunteers and support them at the front desk.
o Be capable of stepping in at the front desk and confidently handling its responsibilities when needed.
• Technical Troubleshooting & Support Coordination
o When tech issues arise (e.g., with phones, printers, internet), take initiative to call service providers and coordinate solutions.
o Serve as the go-to person for tech-related disruptions in the office.
• Administrative Organization
o Keep Google Drive organized and up to date.
o Be able to quickly find documents and ensure new files are saved in the correct place.
• Design Work (Canva)
o Create and update flyers, letters, business cards, and other branded materials using Canva.
o Ensure a clean, professional, and consistent look across all designs.
• Website Management
o Make small edits and updates to the website as needed.
o Rearrange or add content to ensure clarity, accessibility, and up-to-date information.

Salary: $29-$34 per hour, flex hours, medical insurance, for a 20-hour part-time or a 35-hour full time week option. Monday to Thursday 9-5 pm, Fridays, 9-2 pm, with half-hour lunch breaks.
