Facilities Coordinator 1

We are looking for a dedicated Facilities Coordinator to join our team on a contract basis in Toronto, Ontario. In this role, you will oversee mailroom operations, coordinate with delivery services, and manage a small team to ensure efficient workflows and high standards. This position is ideal for someone with excellent organizational and communication skills who thrives in a fast-paced environment.

Responsibilities :

• Supervise daily mail sorting, distribution, and delivery processes to ensure efficiency.
• Manage incoming and outgoing mail, packages, and courier services, coordinating with postal providers like FedEx and other delivery companies.
• Maintain accurate logs and tracking systems for mail and package deliveries.
• Handle certified and registered mail, including deliveries requiring signatures.
• Implement and oversee security measures for sensitive mail and packages.
• Coordinate mail forwarding services for relocated employees.
• Support the performance monitoring and coordination of a small team of multi-skilled operatives.
• Conduct regular site inspections, audits, and safety procedure assessments to maintain operational excellence.
• Assist in vendor procurement and financial processes, including purchase orders and monthly reports.
• Collaborate with stakeholders and partners to align facilities operations with organizational goals.
• Proven ability to supervise and coordinate a team effectively.
• Strong proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
• Experience with financial processes such as purchase orders and accrual reporting.
• Familiarity with mailroom or facilities operations, including workflow and risk management.
• Excellent verbal and written communication skills.
• Strong organizational abilities and attention to detail.
• Ability to conduct audits and implement property risk management practices.
• Bachelor’s degree in a related field or equivalent experience.
