Job Summary
We are currently looking for a motivated, ambitious, dynamic team player to fill the position of Administrative Assistant. The person in this position will provide support to Perform administrative duties at the Hamilton-Kent head office in Toronto. Provide support to Directors of Sales, Engineering and Supply Chain as well as other senior staff in the Toronto plant and office. Provide SAP / ERP administrative support to each department through data entry activities or report creation.
Principal Responsibilities
- Manage access to the Hamilton Kent office at 77 Carlingview Dr.
- Welcome guests, customers, suppliers by greeting them and ensuring adherence to sing-in / sign-out procedures
- Ensure visitors are made aware of Hamilton Kent safety rules if visiting the plant
- Respond to telephone or electronic inquiries
- Plan meetings and take detailed minutes
- Plan corporate meetings (mid year or annual) and support plant events
- Manage internal electronic mailing lists
- Validate invoices for corporate activities (catering, furniture rental etc.)
- Manage courier activities end-to-end to include final invoice validation
- Manage ordering of office supplies through contracted supplier
- Support Directors in travel arrangements through contracted Travel Management process
- Support Directors in expense processing and management
- SAP Sales Admin support – on an as-needed basis update rebate agreements, pricing files, maintain customer master information
- SAP Supply Chain Admin support – on an as-needed basis update supplier master data and material master data.
- SAP Manufacturing Admin support – on an as-needed basis update and track changes to bills of material, production reporting and data entry
Education, Required Skills & Qualifications
Post Secondary education in Executive Office Administration or similar program; or equivalent combination of education and experienceAny certificates related to expertise in SAP S4 / Hana ERP System3-5 Years of Experience in Executive Assistant / Office Administrator rolesAdvanced proficiency in MS Office, including Excel and PowerPointExperience managing an office environmentExcellent verbal and written communication, interpersonal skillsPrevious experience in an industrial environment.LI-MD2
