Duties :
- Greet clients and visitors in a professional and friendly manner
- Answer and direct phone calls, take messages, and provide basic information to callers
- Schedule appointments and maintain calendars for attorneys
- Perform data entry tasks, including updating client information and case details
- Proofread and draft legal documents, and correspondence
- Manage document management systems to ensure accurate filing and retrieval of documents
- Assist with clerical tasks such as photocopying, scanning, faxing, and mailing
- Maintain office supplies and order new supplies as needed
- File and organize physical and electronic documents according to established procedures
- Accounts payable, accounts receivable, payroll, and some bookkeeping duties if qualified
Qualifications :
High school diploma or equivalent required; additional education or certification in office administration and / or formal legal assistant training is a plusProven experience as a receptionist in a legal setting or as a legal assistant is preferredExcellent organizational skills with the ability to prioritize tasks and manage time effectivelyStrong attention to detail for proofreading documentsProficient in using document management systems and other office software (e.g., Microsoft Office Suite)Exceptional phone etiquette with excellent verbal and written communication skillsAbility to handle confidential information with discretion and maintain client confidentialityStrong interpersonal skills to interact professionally with clients, attorneys, and staff membersPay commensurate with experience.Paid holidays of 2 weeks per annum in addition to office closure over Christmas and New Years.Company Description
