SALES OPERATION COORDINATOR
The sales operations coordinator plays a pivotal role within the Sales organization by supporting the sales managers & sale directors with operational activities, managing keys accounts, and be a central point of contact for customers. This position involves overseeing account operations, maintaining client relationships, and facilitating seamless execution of projects. This person will help to track and calendar the flow of merchandise for customers and work to update internal teams. The sales operation coordinator will report directly to the sales operation manager.
RESPONSIBILITIES :
- Serve as a primary point of contact for clients, addressing inquiries, providing updates, and ensuring client satisfaction with operational processes
- Support sales managers & sales directors in preparing proposals, reports, and presentations for client meetings, ensuring accuracy and completeness
- Facilitate the coordination between internal teams, including operations, supply chain, marketing, EDI, and engineering to meet client objectives and project deadlines
- Identify potential issues in operational processes, collaborate cross functionally to resolve them promptly, and implement preventive measures for future efficiency
- Follow customer purchasing, shipping, and compliance manuals, keep track of all updates made by customers and update SOPs accordingly
- Conduct quality checks on operational deliverables to ensure compliance with client requirements and company standards
- Purchase order management in NetSuite
- Ensure data and pricing consistency and accuracy across internal systems (NetSuite & Fusion) and customer portals
- Maintain trackers, logs, and systems for orders, inventory, etc.
- Monitor project timelines and report any foreseen delays or obstacles to the Sales Operations Manager promptly, ensuring effective communication and resolution
- Manage and oversee chargeback processes as applicable, ensuring accurate processing and compliance with company policies
- Perform other administrative or operational tasks as assigned, supporting the team and sales operations department as required
QUALIFICATIONS :
Minimum of 2-3 years of experience in sales account coordination, customer service and / or operationsStrong communication skills, both verbal and written, with the ability to interact effectively with clients and internal teamsExcellent organizational and time management abilities, capable of managing multiple tasks simultaneouslyMultitasking in a fast-paced environment and discreet with strong follow-up skillsDetail-oriented with a focus on quality control and client satisfactionProficient in Microsoft Office, and advanced experience in Excel.
