Seaford Pharmaceuticals is seeking an experienced Accounting Administrator to join our Finance team. In this role, you will support the department’s day-to-day accounting functions, including accounts payable and receivable, data entry, reconciliations, and assistance with month-end and year-end procedures.
You will play a key role in maintaining accurate financial records, ensuring compliance with accounting standards and company policies, and supporting the preparation of financial reports and audits.

Responsibilities
Month-End and Year-End Close
- Prepare, review, and post journal entries including accruals, amortizations, and adjustments
- Ensure accuracy of brand and job costing entries
- Perform detailed account analyses and general ledger reconciliations, including bank accounts, prepaid expenses, accruals, inventory-related accounts, deposits, AP / AR subledgers, and intercompany balances
- Maintain and analyze trial balance variances, investigate discrepancies, and propose corrective actions
- Support preparation of monthly financial statements, schedules, and management reporting packages
- Assist with year-end close and provide supporting documentation to external accounting firms
- Coordinate with cross-functional teams to ensure all month-end cut-offs (receipts, invoices, shipments, payroll, and expenses) are accurately captured
- Maintain and update month-end close checklists to ensure consistency and timeliness
- Assist the Controller with government filings, year-end submissions, and industry-specific compliance requirements
Inventory Monitoring and Control
- Monitor daily inventory transactions including receipts, transfers, adjustments, returns, and write-offs
- Reconcile inventory subledger to the general ledger monthly and perform system clean-up as required
- Review purchase cost variances and investigate unusual trends
- Validate landed costs, item setups, SKU pricing, and inventory master data
- Create and maintain product cost databases for gross margin analysis
- Support cycle counts and physical inventory counts, documenting variances and root cause analysis
- Collaborate with Operations to ensure accurate inventory valuation and reporting
- Prepare and maintain inventory-related schedules for internal and external reporting
- Monitor slow-moving, expired, or obsolete inventory and proactively flag potential write-offs and near-obsolete items to Sales and Marketing
Accounts Payable and Accounts Receivable Support
- Process vendor invoices, match purchase orders and receiving documentation, and verify approvals
- Maintain accurate vendor and customer records and resolve discrepancies
- Assist with customer invoicing, payment applications, and AR follow-up
- Process credit memos, adjustments, and deposits accurately
- Ensure vendor and customer master data remains current and accurate
General Accounting and Administrative Support
- Maintain organized, audit-ready financial records and supporting documentation
- Assist with documenting accounting processes, systems, and procedures
- Support the creation and maintenance of the Finance Department Manual
- Prepare ad hoc analysis and reports as requested by the Controller or management
- Support implementation and continuous improvement of accounting systems and processes
- Provide general administrative and clerical support to the Finance team as required
Qualifications and Experience
- Diploma or degree in Accounting, Finance, or Business Administration
- 2–4 years of hands-on accounting experience, preferably in inventory-based industries
- Experience with month-end close and inventory accounting required
- Audit exposure (internal or external) considered a strong asset
- Strong working knowledge of GAAP
- Experience with accounting ERP systems (Spire experience considered an asset)
- Advanced Excel skills, including pivot tables, lookups, data validation, and reconciliations
- Familiarity with inventory modules and costing methodologies preferred
- High attention to detail and accuracy
- Strong analytical, problem-solving, and critical-thinking skills
- Ability to manage multiple deadlines in high-volume close environments
- Strong communication skills and ability to work cross-functionally
- Demonstrates initiative, accountability, and professional integrity
- Ability to work independently while contributing effectively to a team
