About the Position:
This is a temporary full time Appendix D position, replacing a bargaining unit employee, working 35 hours per week at an hourly rate of $29.83 - this position will start in June and end December 23, .
The primary function of the role is to provide administrative support to the Dean of the School of Applied Science, Engineering Technology, and Trades as well as administrative, secretarial and receptionist support to the Division as a whole.
Specific Accountabilities:
•Organizes and tracks faculty evaluations, May/June objectives, as well as SWF meetings with faculty
•Helps assess the need for Work Study or EBAT students
•Works with course leads to ensure course outlines are updated in COMMS
•Organizes and takes minutes for all PAC meetings and, when required, for meetings within the Division Department
•Organizes Academic Integrity meetings between the Dean, if required
•First point of contact for faculty, students and community for general information; department inbox
•Creates/composes and manages confidential and routine correspondence for the Dean and School, and external affiliated contacts, eg, PAC members
•Tracks and monitors grade change requests, pre-requisite waiver requests for the department
•Oversight of JIRA ticketing to Dean’s office, office supplies ordering and purchasing, and student requests
•Manages all Divisional records & correspondence, records retention
•Verify payroll data information for all part-time, sessional, partial-load load and contracted services employees
•Plans, maintains and manages Dean's schedule
•Assists the Dean in tracking, monitoring and organizing incoming meeting requests
•Organizes faculty feedback and faculty involvement in events
•Assists with school meeting planning/orientations
•Books the student forums and assists with collecting/storing student representative information
•Reconciles visa statements for Dean
Qualifications:
•At minimum a 2 year diploma in Office Administration
•At minimum 3 years of experience in an administrative office environment
•Demonstrated computer skills - Microsoft Suite & ability to learn new systems
