Job Summary
The Faculty of Engineering, Office of the Dean, provides administrative and financial support to faculty operations and stakeholders. The position supports a wide range of administrative activities, responds to inquiries from students, faculty, staff, alumni, and guests, and prepares materials including policy documents, correspondence, and financial information. Reporting to the Manager, Finance, the role is responsible for administrative coordination, document preparation, and prioritizing workload while performing related duties.
Key Responsibilities
- Review and reconcile financial accounts, proactively identifying discrepancies and resolving issues by liaising with Principal Investigators (PIs) and Financial Services.
- Process and manage invoices end-to-end, including preparing client invoices, tracking payments, following up on overdue accounts, and ensuring accurate accounts receivable records.
- Support payroll and financial administration by preparing payroll forms, processing journal entries, setting up accounts, and handling invoice payments and related requests.
- Assist with procurement for faculty, PIs, and students, ensuring proper purchasing processes and accurate account allocation for all expenses.
- Coordinate post-payment activities by working with faculty to fulfill project commitments, including student payroll setup, invoice payments, and internal fee transfers.
- Prepare financial reports and summaries for Research Directors and stakeholders, supporting budgeting, decision-making, and accountability.
Note
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
- Business/office administration program with three years of experience (or an equivalent combination of education and experience).
- Proficiency in Microsoft 365 tools (Word, Excel, PowerPoint, Teams, Outlook, OneDrive).
- Strong communication skills both written and verbal ability.
- Attention to detail and ability to organized and prioritized requests effectively.

- Ability to work independently and prioritize tasks in a fast-paced office environment.
- Experience in a university or post-secondary environment.
