About the Role:

Reporting to the Chair, the Academic Advisor is responsible for providing high quality advising on academic program requirements and monitoring academic progress of students in the assigned undergraduate programs including potential domestic students, transfer students, international students, exchange students (when necessary), students doing a minor in the program as well as students looking to change their major. The Academic Advisor is also responsible for conducting degree audits, coordinating Letter of Permission applications and transfer credits, supporting events, recruitment initiatives, and supporting readmissions, and adjudicating and monitoring the registration system.

The Academic Advisor will:

  • Perform student academic advising for undergraduate students in the assigned programs by informing current, transfer, international and prospective students, as well as students minoring in the program;
  • Create and review student program plans, including course selection and program/Faculty/University requirements;
  • Inform students about prerequisite requirements and course restrictions and introducing them to the advising services available to them;
  • Manage advising appointments, both virtually and in-person, opening appointment times and tracking student requests and inquiries;
  • Monitor the progress of students at risk academically, provide guidance on resources and make referrals to increase the likelihood of student success;
  • Identify needs for course over-rides and provide appropriate decision maker with required information to review and make determination;
  • Coordinate letters of permission (LOP) applications, transfer credits, exchange course approvals in collaboration with the Chair or others requiring input;
  • Perform degree audits and program adjudication at required times, making decisions and/or seeking approvals;
  • Participate in classroom presentations and orientation, sessions and/or workshops, and attend student recruitment events;
  • Participate in the consistent collection of data across campus on academic advising, student satisfaction and advising outcomes;
  • Track and report on stats related to advising and academic supports needed;
  • Provide insight to Academic Review Committee for proposals (having major impact to program modifications, curriculum planning, Undergraduate Program Committee (UPC) submissions, articulation agreements, college transfers, etc.) as needed.

Key Skills and Experience:

  • Undergraduate degree in a related discipline or the equivalent combination of education and experience would be considered;
  • Experience with academic advising in a post-secondary environment;
  • Experience in a leadership/manager/supervisor role;
  • Knowledge of academic advising, including advising models, theories, and techniques, and counselling theories;
  • Understanding of the undergraduate course calendar, course offerings, prerequisites, and class scheduling for the Department/Faculty;
  • Knowledge of University regulations, policies, strategic initiatives, programs, services and systems, and familiarity with disciplines represented in the Department/Faculty;
  • Understanding of the Freedom of Information and Protection of Privacy Act;
  • Knowledge of computer software and systems including MS Office and competency with spreadsheets, word processing, database applications, CRMs, email and web applications;
  • Understanding of Co-op and all institutional forms of experiential learning;
  • Proven event planning and presentation skills;
  • Promotes and embodies inclusiveness and respect within the workplace and the broader community;
  • Strong active listening, verbal, written, and interpersonal skills;
  • Ability to coach, mentor, and motivate students;
  • Demonstrates patience, empathy and understanding with the ability to communicate sensitive information tactfully and diplomatically;
  • Ability to develop relationships across the Institution that enhance the student academic experience;
  • Excellent creative problem solving, organizational and multi-tasking skills;
  • Excellent prioritization and record keeping abilities.

Preferred or Asset Skills:

  • Degree from within a relevant program preferred;
  • Having experienced a non-linear path or challenging experience with academics.

Salary and Total Rewards:

  • Job Grade K, Salary Scale ($62,115-$99,384);
  • Target Hiring Range: $62,115-$65,000*
  • This is a permanent position that includes:
