Position title : Project Coordinator / Sr. Governance Analyst
Location : Downtown Toronto (Hybrid 3 days per week)
Duration : 6 months (extendable)
Job Purpose
The PCO role will provide support Program Management Office (PMO) in compliance and alignment to our client’s processes and methodologies.
This primarily includes reporting and portfolio analysis, change and performance improvements, financial management including tracking, monitoring and processing of invoices, reporting on project and portfolio health by providing financial insights, document and communication management duties at the program or project level, and providing support to SA&I adding and removing system access for contract employees.
This role is accountable to provide support to the Project Management team and is expected to be familiar with Project Management Frameworks.
Primary Responsibilities
- Support PMO Manager in creating dashboards, reports, governance & framework (artifacts).
- Provide project and portfolio financial reporting for all SA&I led or sponsored projects
- Provide delivery leads analysis of portfolio financial health and issues
- Provide planning support for tools ( project opening, funding updates, Jira, Confluence)
- Develop and coordinate monthly Executive and program level reporting ( SA&I Monthly Financial Analysis)
- Work closely with internal partners ( other Planning teams) to ensure financial alignment for SA&I portfolio across sponsors
- Provide tracking and support for SA&I SOW’s processed in Beeline via CWM and third party suppliers
- Actively supports the Project Manager and Delivery leads in managing all aspects of the financials (including initiative tracking, reporting and managing / monitoring of actual versus plan, and processing of invoices)
- Perform periodic project audits to ensure governance and compliance with SA&I Delivery framework and our client’s PMF gating requirements
- Provide support in generate system access request forms to on board / off board contract employees and ensuring that processes are efficient and streamlined
- Support PMO Manager on Portfolio Innovation updates on confluence by keeping the information up to date as per reporting cadence
- Organize and monitor generic PMO mailbox by keeping it up to date and providing the information to the PMO Team where needed (or applicable)
- General - Independently and autonomously prioritize workload to ensure most critical work is being completed first. Understand business needs and provide reporting that’s relevant to help with delivery of projects and that will assist Delivery Leads with making decisions that fit their needs.
Work with internal partners to develop process and solutions through non-standard, non-documented means. Use individual judgement to determine what processes are required and how to best provide them.
Autonomy to make decisions for elements within the mandate without senior approval
Support Sr. PMO Manager with the intake process including the planning and prioritization of the SA&I delivery roadmap by preparing meeting agenda, documentation of minutes
Time Allocation
80% - Monitor, track, and update project finance according to approved cost funding, including :
- Monitoring funding amounts
- Monitoring resource forecasting, other costs and use of generic resources to ensure that project funds and project forecasts are comparable
- Monitoring, tracking, and reconciling contract invoices to project finances
- Facilitate development of and document monthly SA&I Financial Analysis
- Provides project management with timely updates on finances.
- Contribute to project’s documents focusing on project financials where appropriate
- Recommends process improvements where appropriate, provides monthly project financial reports, provides metrics and other exception reports as required
- Monitor, tracking, and processing of invoices
