Job description
CUPE (Office, Clerical & Technical) The Near North District School Board is hiring! 1.0 Temporary Facilities Support Clerk (12 month position) Effective Immediately until the return of the employee Location: North Bay Head Office Under the supervision of the Manager of Facilities and Operations and the Manager of Capital Planning, the incumbent will work both independently and as part of a multidisciplinary team to provide clerical support for the day-to-day operations of the Facilities and Operations and Capital Planning departments. Skills Required: Demonstrated organizational skills and understanding and working knowledge of accounting concepts. Good mathematical and analytical skills. Strong interpersonal skills and ability to communicate effectively verbally and in writing. Knowledge and proficiency with integrated accounting systems, purchasing and tendering procedures, excel spreadsheets, word processing and database management environments. Knowledge of VFA.TCPS and eBASE databases would be considered an asset. Familiarity with building maintenance, construction procedures and terminologies considered an asset. Qualifications: Minimum 2-3 years of post-secondary diploma in Business, Accounting and/or Facilities Management or related field. 1-3 years of experience working in a clerical and accounting environment. Key Responsibilities: Provide assistance for the monitoring, tracking and reporting of departmental budgets. Update on a regular basis and maintain Excel spreadsheets for monitoring a variety of Ministry capital related funding initiatives including annual School Renewal and School Condition Improvement initiatives. Issue and enter purchase requisitions including capital construction requisitions in accounting system ensuring compliance with Purchasing and Tendering Administrative Guidelines. Receipting of invoices for goods and services for payment. Responsible for developing work-in-progress and year-end status of capital construction projects at year-end. Provide general clerical services such as maintaining files, typing correspondence, photocopying, faxes, responding to and directing inquiries, mail distribution. Book meetings, record and distribute minutes. Assist in organizing departmental professional development and events. Operate as prime contact with VFA to facilitate data collection and reporting. Assist in reconciliation of accounts to ensure VFA totals correspond with EFIS totals. Maintain up-to-date water management binders for the schools and plant files. Track adverse water reports and advise contacts as/when required. Maintain and update licensing, leasing requirements for Facilities and Operations’ fleet of vehicles including annual insurance reports for vehicles, property, buildings and boilers. Track and report (central) attendance and vacation for Facilities and Operations, and Capital Planning department personnel. Other related duties as assigned by the Managers of Facilities and Operations, and Capital Planning.
