This position is with The Hive Youth Hub by Kickstand Bonnyvile FTE :

Status : Temporary (Maternity leave) Hours of work : 11am-7pm Mon-Friday (some earlier shifts may occur)

Position Summary

The Program Assistant (PA) is responsible for providing a wide range of administrative, programmatic, and clinical support services to assist The Hive and operational and clinical team in delivering youth-centered services. The PA plays a key role in ensuring smooth day-to-day operations, engaging with participants, managing data and communication systems, and supporting clinical workflows and basic financial tracking.

Under the direct supervision of The Hive Operations Lead , the Program Assistant is the first point of contact for young people accessing The Hive, supporting the walk-in clinic, programs, and mental health services, and is essential in creating a safe, welcoming, and organized environment that promotes access to care and youth empowerment. They support the delivery of programs through coordination of events including set up, support and clean up as well as administrative duties such as data collection and communications between partners as required to keep The Hive running smoothly.

Key Responsibilities

Engagement and Service Navigation

  • Greet and engage all visitors, ensuring they feel welcome and supported
  • Build respectful, trusting, and inclusive relationships with youth and their families or caregivers
  • Support service navigation for walk-in participants by assisting with sign-ins, triage forms, and guiding youth to the appropriate service providers (e.g., clinicians, peer supports, or YAN, Youth Programer, Ops Lead Mental Health Therapist etc)
  • Provide accurate and up-to-date information on Hive programming, community resources, and mental health services

Clinical and Program Support

  • Assist clinicians and mental health professionals in coordinating appointments, confirming schedules, and managing service flow
  • Ensure the youth check-in process is smooth and confidential by managing intake paperwork and clinical forms. Maintaining strong confidentiality and processes to support client and health information
  • Track clinical referrals and follow-up needs using the MyKickstand database system
  • Coordinate logistics for clinical workshops, educational sessions, psychoeducational groups etc
  • Administrative and Operational Duties

  • Provide clerical support for the Operations Lead, Youth Coordinator, Youth Advocacy Navigator and Mental Health Therapist, including filing, scanning, and maintaining accurate digital and physical records
  • Enter client and program data accurately into MyKickstand, maintaining data integrity and confidentiality in accordance with privacy legislation
  • Support monthly, quarterly, and annual data reporting and evaluation efforts by compiling relevant statistics and feedback
  • Assist with basic budget support, including tracking expenses, processing receipts and supporting invoice submission
  • Program / Service Coordination

  • Assist with planning, setting up, and supporting youth-focused events and activities, including community engagement sessions, mental health education workshops, and support groups
  • Ensure cleanliness, readiness, and proper setup of the physical space before and after events
  • Help monitor supply levels for clinical, administrative, and program needs; support ordering and organizing inventories
  • Communication and Relationship Management

  • Act as a liaison between The Hive team and external service partners by managing communications and scheduling collaborative events
  • Contribute to internal team communications by participating in team meetings, offering updates, and suggesting improvements to service delivery processes
  • Skills & Abilities

  • Ability to work compassionately with youth in crisis or experiencing mental health concerns
  • Comfortable handling confidential information and supporting clinical documentation processes
  • Familiarity with trauma-informed practices and mental health service environments
  • Knowledge of community resources, addiction and mental health services, and youth care systems
  • Demonstrated initiative, flexibility, and the ability to work independently or within a multidisciplinary team
  • Strong organizational, time management, and attention-to-detail skills
  • Excellent interpersonal communication skills (verbal and written)
  • Proficiency in Microsoft Office Suite, Google based systems and database systems (especially MyKickstand or similar platforms including EMR)
  • Qualifications

  • High school diploma or equivalent (post-secondary education in human services, office administration, or a related field is an asset)
  • Minimum one (1) year of experience in administrative or program support roles, ideally in a health, mental health, or youth services setting
  • Familiarity with data entry, documentation procedures, and / or electronic health records
  • Experience with financial tracking or budget-related administrative tasks is an asset
  • Current CPR and First Aid Certification preferred
  • Availability for some evening or weekend shifts as needed
