    Position Overview

    The Clinical Records Coordinator is responsible for maintaining accurate and complete clinical records for the Centre's programs. This includes ensuring that all client-related paper and electronic records comply with legislative requirements and adhere to current clinical records policies and procedures. The role demands exceptional attention to detail, along with strong organizational, interpersonal, communication, and administrative skills.

    Working closely with management and clinical staff across the Centre, the Clinical Records Coordinator must effectively represent the Centre in interactions with clients and external organizations. The ideal candidate will be adept at generating reports promptly and meeting monthly and quarterly deadlines while upholding strict confidentiality of client information at all times.

    This position will utilize software and databases, including the VitalHub TREAT Information System and the Child and Adolescent Functional Assessment Scale (CAFAS).

    Duties include but are not limited to :

    • Entering and verifying data.
    • Processing reports and paperwork related to clinical work.
    • Preparing and assisting with file audits.
    • Processing requests for release of client information through DocuSign and EFax.
    • Overseeing the storage, retention and destruction of files.
    • Delegating and monitoring completion of work to support staff.
    • Training new staff and supporting existing staff on clinical records processes as needed.
    • Exporting data and preparing reports for staff and management.
    • Maintaining the Clinical Records Procedure Manual.
    • Minute-taking and participation on the Centre's Records Committee.
    • Qualifications :

    • Related work experience in record management and data entry is required.
    • A diploma / degree in a related field such as health records management is an asset.
    • 2 years experience with social services or mental health agency performing clinical record duties is an asset.
    • Highly developed administrative, writing, and computer skills (particularly Excel).
    • Any working knowledge of databases (CYSIS), CAFAS, TREAT and relevant legislation pertaining to children's mental health would be an asset.
