About Our Opportunity

We are looking for a Secretary 3 to provide quality administrative support in a dynamic workplace. We are looking for someone who is highly organized, pays attention to detail, and is an effective communicator. We are seeking an administrative professional who can effectively work in a dynamic fast-paced environment with multiple competing tasks that need to be managed and prioritized effectively.

Primary Accountabilities

  • Support the daily operation of the office of the Executive Director
  • Contribute to the development of administrative work standards
  • Compose/prepare correspondence on behalf of the Branch
  • Manage, and coordinate the Executive Director's electronic calendar
  • Coordinate/arrange meetings, including logistics, negotiation, and organization
  • Assist in coordinating the division's budget, monitors forecast documents
  • Manage, and coordinate computer and other equipment requirements for the Branch
  • Assist in coordinating communications with internal and external partners and contacts
  • Organize travel and accommodation requirements
  • Other Office duties as required

Qualifications and Experience

To be considered for this opportunity, you have successfully completed an office administration program with 4 years of related experience or the equivalent combination of training and experience.

You possess a broad range of knowledge relating to the functions, activities, policies, and practices of executive offices. You are dedicated to high standards of quality with proven initiative, integrity, judgement, decision making abilities, and communication skills (verbal and written). You are resourceful, reliable and have a high degree of organizational skills, which are required to determine priorities with minimal supervision in a fast paced environment.

Essential skills include advanced computer skills using Microsoft Office (Word, PowerPoint, Outlook and Excel), as well as the ability to create and manage processes and office management practices. A high degree of confidentiality, sensitivity, discretion and judgement are essential. You must be able to effectively respond to high volumes of work and work independently with minimal supervision.

Equivalency

An equivalent combination of training, education and experience will be considered. Applicants relying on education and experience equivalencies must demonstrate such equivalencies in their application.

Equivalencies which may be considered include, but are not limited to, several years of progressive experience in an administrative role leading to the support of senior officials.

Working Conditions

  • Normal work week is 35 hours/week, 7 hours/day.
  • May be required to work overtime on occasion.
  • The majority of time is spent in a comfortable office setting with frequent opportunity to move about.
  • High concentration of visual demands for proof reading and entering data into a computer database, giving close attention to detail.
  • Pressures to meet deadlines with attention to accuracy.

Additional Information

This is a term, full-time position with a projected end date in July, 2027.

Note that the status of the position (term/temporary) is dependent on the start date of the successful candidate and the overall duration of the vacancy, in accordance with the collective agreement.
